Job Description

Job Title: Admin Assistant – Showroom

Job Summary

The Admin Assistant supports the day-to-day administrative and operational activities of the showroom. The role ensures smooth coordination between sales, inventory, accounts, and management while maintaining accurate records and efficient office operations.

Key Responsibilities

  • Provide administrative support to showroom management and sales team
  • Maintain daily records of sales, customer entries, and invoices
  • Assist in preparing quotations, purchase orders, and delivery documents
  • Coordinate with accounts for billing, payments, and expense tracking
  • Maintain inventory records and coordinate with the warehouse/store team
  • Handle documentation related to stock movement, returns, and warranties
  • Manage filing systems, data entry, and record maintenance
  • Handle incoming calls, emails, and internal communication
  • Assist in staff attendance, leave records, and basic HR coordination
  • Ensure office supplies and showroom stationery are adequately stocked
  • Support audits, reports, and compliance documentation

Required Skills & Qualifications

  • Graduate / Diploma in Business Administration or related field (preferred)
  • Proven experience as an Admin Assistant or similar role (showroom/retail preferred)
  • Proficiency in MS Office (Excel, Word, Outlook)
  • Basic knowledge of billing software / ERP / CRM systems
  • Good communication and coordination skills
  • Strong organizational and multitasking abilities

Experience

  • 1–3 years of experience in showroom, retail, or sales support environment
  • Freshers with strong administrative skills may be considered
