Job Description

As an Admin Assistant at VizCheck, your role will involve supporting the Sales and Marketing teams by streamlining hiring, operations, and administrative tasks. You will be responsible for recruitment coordination, CRM management, scheduling, documentation, and communication, ensuring the smooth day-to-day operations. Key Responsibilities: - Sales & Marketing Operations Support - Maintain and update CRM and lead databases. - Support data entry, lead tracking, and reporting for sales teams. - Coordinate client meetings, follow-ups, and email communications. - Assist in event planning, trade shows, and marketing campaigns. - Help prepare sales presentations, proposals, and marketing materials. - Administrative & Coordination Tasks - Manage calendars, meetings, and travel arrangements for Sales & Marketing teams. - Organize and maintain digital and physical files and records. - Assist in preparing monthly reports, performance tracking, and team KPIs. - Handle general email and phone correspondence. - Process & Workflow Improvement - Identify and suggest improvements in administrative workflows. - Help streamline sales and marketing documentation and procedures. - Ensure timely follow-ups on pending tasks and action items. - Recruitment & Hiring Support - Assist in posting job listings on job portals and social media. - Screen and shortlist candidates for Sales & Marketing roles. - Schedule interviews and coordinate with hiring managers. - Maintain and update candidate records in HR databases or ATS. - Assist in onboarding new hires, including document collection and induction coordination. Qualifications Required: - 1-4 years of experience in administration, sales support, or HR coordination. - Familiarity with recruitment processes and hiring tools. - Proficiency in CRM software, Excel, and reporting tools. - Strong organizational, multitasking, and communication skills. - Ability to handle confidential information with discretion. - Knowledge of basic sales and marketing processes is a plus. - Experience with Google Workspace (Docs, Sheets, Drive) or Microsoft Office.
