Job Description

Role & responsibilities

Payroll Management

  • Process bi-weekly or semi-monthly payroll for U.S. employees and contractors across multiple states.
  • Verify timesheets, commissions, reimbursements, and deductions.
  • Ensure accurate calculation of gross-to-net pay, including overtime, PTO, benefits, and taxes.
  • Maintain payroll master data new hires, terminations, pay rate changes, and tax withholdings.
  • Reconcile payroll reports and ensure seamless sync with accounting and HR systems.
  • Handle payroll inquiries and corrections promptly and professionally.

Compliance & Statutory

  • Ensure compliance with

    federal, state, and local payroll tax regulations

    (IRS, SSA, DOL).
  • Manage tax filings, W-2s, 1099s, and quarterly/annual payroll returns (Form 941, 940, etc.).
  • Collaborate with external payroll providers and accountants for audits and reconciliations.
  • Maintain compliance with

    state registrations, garnishments, and benefits deductions

    (healthcare, 401k, etc.).
  • Track and ensure adherence to wage and hour laws, minimum wage updates, and state-specific requirements.

HR & Operations Support

  • Partner with HR for onboarding, offboarding, and final settlements.
  • Assist with benefits enrollment, deductions, and premium reconciliations.
  • Support finance during month-end close, journal entries, and payroll accruals.
  • Maintain confidentiality and ensure audit-ready documentation for all payroll cycles.

Preferred candidate profile

  • Bachelors degree in Accounting, Finance, or Business Administration.
  • 5+ years of U.S. payroll experience

    — including multi-state and cross-border setups.
  • In-depth knowledge of

    U.S. payroll taxes, wage laws, and compliance

    .
  • Hands-on experience with payroll systems such as

    ADP, Gusto, Paychex, QuickBooks Payroll, or Rippling

    .
  • Strong proficiency in

    Excel / Google Sheets

    for payroll data validation and reconciliations.
  • Excellent communication and documentation skills.
  • Experience working with

    U.S.-based accounting and HR teams

    preferred.
  • Detail-oriented, analytical, and dependable with high integrity in handling sensitive data.
