Job Description

Role & responsibilities

Key Responsibilities:

Daily Transport Operations

  • Manage daily shift-wise pick-up and drop schedules.
  • Allocate vehicles based on shift timings and headcounts.
  • Ensure minimal wait times and maximum route efficiency.

Vendor and Fleet Management

  • Coordinate with transport vendors for vehicle availability, driver allocation, and adherence to SLAs.
  • Conduct regular audits of vendor performance.
  • Maintain contracts and ensure service-level compliance.

Safety & Compliance

  • Ensure all transport operations adhere to company safety standards and government regulations.
  • Verify that all vehicles have valid permits, insurance, and are well-maintained.
  • Conduct regular background checks and training for drivers, especially for night shifts and female employee safety.

Technology & Tracking

  • Use Transport Management System (TMS) and GPS tools for real-time tracking and reporting.
  • Monitor trip status, vehicle routes, and driver behavior through digital platforms.
  • Maintain employee rosters and route maps in the system.

Employee Support & Communication

  • Address employee concerns or issues related to transport in a timely and courteous manner.
  • Share route details, vehicle numbers, and emergency contact points proactively.

Incident & Crisis Management

  • Act as the first point of contact for any transport-related incident (e.g., delays, accidents, vehicle breakdowns).
  • Coordinate with emergency services and internal teams as needed.
  • Maintain an incident log and ensure proper follow-up.

Cost Management & Reporting

  • Track transport costs, fuel usage, and optimize routes to reduce expenses.
  • Generate weekly/monthly reports on vehicle utilization, employee feedback, and budget vs actuals.
  • Provide data-driven insights for continuous improvement.

Required Skills:

  • Strong coordination and planning skills
  • Excellent verbal and written communication
  • Knowledge of local transport regulations and safety norms
  • Proficiency in Excel, MIS reporting, and basic data analysis

Qualifications:

  • Education:

    Bachelor's degree (preferred) in Business Administration, Logistics, Operations, or equivalent.
  • Experience:

    25 years in transport or facilities management in a corporate environment.
