Job Description – Tendering Executive (with Govt. Portal Monitoring)

Position: Tendering Executive
Location: Khar West, Mumbai, India
Reports to: Proposals / Tendering Manager

Role Objective

To manage the end-to-end tendering process, including searching, screening, preparing, and submitting bids on government/e-procurement portals (GeM, DefProc, PSU portals, EPC portals), and supporting the proposals team with compliance and documentation.

Key Responsibilities1. Tender Identification & Monitoring

  • Regularly search and track tenders on:
  • GeM (Government e-Marketplace)
  • DefProc (Defence Procurement portal)
  • PSU e-tender portals (HAL, BHEL, IOCL, ONGC, etc.)
  • EPC client portals (L&T, Tata Projects, Adani, etc.)
  • Filter and shortlist tenders relevant to fabrication, skids, coatings, defence systems, EPC supplies.
  • Maintain a live tracker of upcoming, active, and closed tenders.
  • Alert management on new tenders with summary of scope, deadlines, and eligibility.

2. Tender Review & Compliance

  • Review eligibility criteria (financials, vendor registration, certifications).
  • Prepare compliance checklists & risk notes for management.
  • Gather supporting documents (ISO, ASME, MSME, PAN/GST, past orders).

3. Vendor & Internal Coordination

  • Float inquiries to vendors for major bought-out items.
  • Compile and compare vendor quotations.
  • Coordinate with design/engineering team for technical bid inputs.

4. Bid Preparation & Submission

  • Prepare technical & commercial offers in prescribed formats.
  • Upload bids on GeM, DefProc, and other portals, ensuring all annexures are correct.
  • Track clarifications, corrigenda, and amendments on portals.

5. Post-Bid Support

  • Monitor portal for result declarations.
  • Assist in negotiation, price justification, and reverse auctions (GeM).
  • Maintain tender status database (won, lost, under evaluation).

Qualifications & Skills

  • Graduate in Engineering / Commerce / Supply Chain / Business Administration.
  • 2–5 years’ experience in tendering / bid management, preferably with exposure to Govt. portals (GeM, DefProc, e-Tendering).
  • Proficient in MS Office / Google Sheets for trackers and compliance matrices.
  • Comfortable with digital submissions, DSC tokens, e-tender portals.
  • Good communication (English/Hindi), detail-oriented, deadline-driven.

Competencies

  • Strong grasp of government procurement workflows.
  • Ability to spot opportunities quickly and filter non-relevant tenders.
  • Accuracy in bid documentation and portal uploads.
  • Good follow-up skills with vendors and internal teams.

Job Type: Full-time

Pay: ₹20,000.00 - ₹35,000.00 per month
