Job Purpose
To manage and execute the end-to-end tendering process for solar / renewable energy / EPC projects including identifying opportunities, preparing and submitting bids, coordinating with cross-functional teams, and ensuring compliance and quality in all proposals.
Key Responsibilities
Tender Identification & Monitoring
- Regularly monitor government and private tender portals (e.g., GeM, CPPP, DISCOMs, etc.) for relevant opportunities.
- Evaluate tenders based on eligibility criteria, scope of work, technical and commercial feasibility.
- Maintain and update a tender tracker for upcoming, ongoing, and submitted tenders.
Tender Analysis & Documentation
- Read and analyze RFPs, RFQs, EOIs, bid documents to understand technical requirements, payment terms, BOQ, and other critical elements.
- Prepare a document checklist for each tender.
- Coordinate with internal teams (engineering, finance, procurement, legal) to collect necessary technical and commercial inputs.
- Draft pre-qualification documents, technical proposals, financial bids, and other required components.
Bid Preparation & Submission
- Compile and format all bid documents — cover letters, certifications, annexures, BOQs, etc.
- Ensure all bids comply with tender conditions, regulatory requirements, and internal quality standards.
- Submit bids on e-procurement portals (or physically, if required) within required timelines.
- Manage addenda, corrigenda, clarifications, and pre-bid queries.
Coordination & Communication
- Liaise with clients, consultants, and other stakeholders for clarifications, meetings, and negotiations.
- Attend pre-bid meetings or client meetings, prepare presentation material if needed.
- Work cross-functionally to align bid strategy and inputs (technical, financial, legal).
Post-Submission Activities
- Track submitted tenders, follow-up on bid status, and manage client communications.
- Maintain records of all submissions, queries, correspondence, and documentation.
- Support post-bid clarifications or negotiation if required.
Reporting & Analysis
- Prepare regular MIS / bid performance reports (win/loss analysis, bid pipeline, tender outcomes).
- Suggest improvements to tender strategy based on past bid performance and competitor analysis.
- Maintain a repository of credentials, templates, and company past performance documents for future bids.
Qualifications & Experience
- Bachelor’s degree in Engineering (Electrical / Mechanical / Civil) or Business / Commerce / Management.
- Preferred: Experience in the solar / renewable energy / EPC sector (Sunshell Power works in solar / green energy).
Experience:
