Job Description

Role Overview: As the Team Assistant for the European Union Special Representative (EUSR) for the Great Lakes region, your main responsibility will be to support the EUSR's team by managing schedules, organizing meetings, handling mission preparations, and assisting in various administrative tasks. Key Responsibilities: - Manage the schedule and planning of the EUSR, including handling calls, correspondence, and email exchanges. - Organize meetings, book rooms, provide technical support for VTCs, arrange catering, security accreditation, and accompany external visitors. - Assist in mission preparations, such as travel, accommodation, and visas for the EUSR and the team. - Support the Financial and Administrative Officer with travel claims from missions. - Assist team members in fulfilling administrative tasks and managing functional mailboxes. - Receive and route incoming correspondence, prepare outgoing correspondence, and maintain updated contact lists and documents. - Coordinate holidays, leave records, and personnel administration formalities. - Maintain contact with support services for office-related administrative issues. - Perform any other tasks relevant to the EUSR's mandate as requested. Qualification Required: - Citizenship of a Member State of the European Union with full rights. - Fluency in written and oral English, with a working knowledge of written and oral French. - Successful completion of Secondary Education or equivalent qualification. - Relevant professional experience in administration, preferably in EU institutions or missions. - Computer skills including Windows, MS Office, and experience with internal IT systems. - Excellent organizational, interpersonal, and communication skills. - Ability to work autonomously with discretion and confidentiality in a multicultural environment. - Flexibility and ability to deliver results under pressure.
