Job Description

Job Summary:

The incumbent will be responsible for managing store i.e. inventory, stock & record of issuance of stationary items, drinking water, verification and processing of third party bills of housekeeping and security in accordance with attendance of our sites. He should ensure necessary consumptions, coordinates with vendors for services like water supply, gardening, housekeeping, and office supplies. Additionally, this role includes managing petty cash for routine administrative expenses, ensuring accurate record-keeping and timely reimbursement processes.

Key Responsibilities:

Store & Inventory Management:

  • Maintain and update inventory records for stationery and consumables.
  • Issue materials as per approved requisitions.
  • Organize and maintain the store in a clean, labeled, and accessible manner.
  • Conduct regular stock audits and submit monthly stock reports.
  • Raise timely purchase requests to replenish stock.

Vendor & Service Coordination:

  • Coordinate and manage vendors for:
    • Water supply (e.g., drinking water cans/dispenser services)

    • Stationery and office supply vendors

    • AMC of various machines i.e. photocopy machine, tea/coffee vending machines etc.

    • Gardening services and supplies

    • Housekeeping staff and cleaning materials

  • Track and evaluate vendor performance.
  • Verify service delivery and prepare documentation for vendor payments.

Petty Cash Handling:

  • Manage day-to-day petty cash expenses related to admin, store, and maintenance needs.
  • Maintain accurate records of cash disbursements with bills and vouchers.
  • Prepare petty cash summaries and reconcile balances regularly.
  • Submit timely reports for reimbursement with proper documentation.

Housekeeping & Gardening Oversight:

  • Monitor daily attendance and performance of housekeeping staff and gardener.
  • Ensure cleanliness and hygiene of the office premises.
  • Supervise garden maintenance activities and ensure availability of related tools and materials.

Administrative Support:

  • Keep accurate records of material inflow and outflow.
  • Support internal audits related to store and petty cash.
  • Assist in annual budgeting for store, consumables, and vendor services.
  • Maintain vendor contracts and renewal schedules.

Key Skills & Competencies:

  • Strong storekeeping and inventory management skills.
  • Basic knowledge of petty cash procedures and expense tracking.
  • Vendor negotiation and coordination skills.
  • Familiarity with housekeeping and gardening operations.
  • Good command of MS Excel and record-keeping tools.
  • High level of integrity, accountability, and attention to detail.
  • MIS

Qualifications & Experience:

  • Graduate in any discipline (Commerce/Administration preferred).
  • Computer savvy.
  • Minimum 510 years of relevant experience in storekeeping, petty cash handling, and vendor management.
  • Experience in a facility/admin support role is an added advantage.
