Description
As a core member of the Corporate Secretarial team at Citco, a global leader in fund services and corporate governance, you will work with accomplished professionals to deliver award-winning services for complex fund structures. Your role will involve handling day-to-day operations, assisting in client onboarding, drafting board packs, ensuring timely updates, monitoring quality standards, collaborating with senior team members, training junior team members, and driving process improvements. - Handling day-to-day operations i.e. corporate secretarial services to clients in foreign jurisdictions. - Assisting in new client onboarding, including database creation and coordination with senior team members. - Drafting board packs, agenda, and minutes for Board Meetings, AGMs, and Committee Meetings. - Ensuring timely and accurate updates on the Oracle System and maintaining compliance with internal processes. - Managing and updating work trackers, discussing work schedules with seniors, and meeting deadlines. - Monitoring quality standards of deliverables and implementing feedback provided by seniors. - Developing expertise in software such as Viewpoint, Diligent, TIBCO, Entica, and training junior team members. - Collaborating with Grade 7s and AVPs for work allocation and workflow optimization. - Attending process and client-related trainings, implementing standard operating procedures. - Training junior team members on tasks like renaming and storing documents, Docusign, and Statutory Filings. - Driving process improvements through automation and effective communication with stakeholders. - Timely completion of all organizational trainings as assigned. Qualifications Required: - Company Secretary with 1-3 years post qualification experience or semi-qualified Company Secretary with 4-6 years of experience in the secretarial department. - Fluent in English (written and spoken). - Flexible, proactive, attentive to details, team player with excellent communication skills.
