Sales Operations Executive

1. Role Overview

Sales Operations Executive

2. Key Responsibilities

A. Sales Support & Coordination

  • Assist sales team in preparing proposals, quotations, agreements, and onboarding documents.
  • Ensure all sales requests, leads, and client information are captured accurately in CRM/software.
  • Coordinate with internal teams (Operations, Finance, Compliance, Customer Service) to facilitate smooth sales closures.
  • Track and update sales team on application status, documentation gaps, pending actions, etc.
  • Support sales executives with scheduled follow-ups, payment tracking, and client reminders.

B. CRM / Software Management

  • Maintain and update CRM records, lead details, sales funnel progress, and client communication logs.
  • Ensure data hygiene by validating entries, eliminating duplicates, and correcting errors.
  • Generate dashboards and reports for management (daily/weekly/monthly).
  • Monitor team activity logs, task completion, and follow-up schedules.

C. Documentation & Compliance

  • Verify completeness of client documents received from sales before sending to operations or compliance.
  • Maintain record-keeping and digital filing for all sales-related documents.
  • Coordinate with compliance team for KYC validation, documentation updates, and regulatory requirements.
  • Ensure that all processes align with company SOPs and regulatory guidelines.

D. Workflow & Process Management

  • Create and track sales workflows, approvals, and handovers from sales to operations.
  • Ensure timely movement of cases from lead prospect documentation submission activation.
  • Track TATs (Turnaround Times) for all requests and ensure process efficiency.
  • Highlight process bottlenecks and propose improvements.

E. Client Communication Assistance

  • Support the sales team by sending welcome mails, follow-up emails, reminders, and status updates.
  • Handle basic client queries related to documentation, application status, etc.
  • Coordinate between client and internal teams to resolve issues.

F. Cross-Department Coordination

  • Liaise with:
    • Compliance team for KYC/document verification
    • Operations for activation/processing
    • Finance team for billing, payout, and payment reconciliation
    • IT team for system issues or enhancement requirements
  • Ensure alignment between sales and backend support teams.

G. Administrative Responsibilities

  • Assist in maintaining calendars, scheduling meetings, and organizing sales events/training sessions.
  • Maintain records of sales team attendance, productivity logs, and activity sheets.
  • Support in onboarding new sales executives with software/system training.
