Position Title: Accounts cum Operations Executive

Department: Accounts & Operations

Location: Thane

Reporting To: Operations Head

Employment Type: Full-time

1. Position Overview

The Accounts cum Operations Executive will be responsible for managing day-to-day accounting functions, financial record keeping, operations coordination, and administrative support. The role requires strong knowledge of accounting practices, operational processes, and ability to coordinate with internal teams, vendors, clients, and management. The candidate should ensure accuracy, compliance, and smooth workflow across accounting and operational activities.

2. Key Responsibilities

A. Accounting & Finance Responsibilities

  • Maintain day-to-day accounting entries including purchase, sales, receipts, payments, and journal entries.
  • Handle accounts payable and receivable with proper follow-up and reconciliation.
  • Prepare bank reconciliation statements on weekly/monthly basis.
  • Manage petty cash, expense records, and staff reimbursement claims.
  • Assist in finalization of accounts and coordinate with auditors during internal/external audits.
  • Assist in GST workings, TDS calculations, challans, and ensure timely compliance.
  • Manage vendor payments, invoice verification, and aging reports.
  • Maintain proper documentation for all financial transactions and ensure audit-ready filing.

B. Operations & Administrative Responsibilities

  • Coordinate with clients, vendors, and internal departments for smooth execution of operational work.
  • Manage data entries, client records, and documentation as per company process.
  • Support operational workflow for financial products (Insurance, Mutual Funds, Equity, etc.if required).
  • Track and update client servicing requests and escalate pending tasks to concern team members.
  • Prepare MIS reports for management on operations, accounts, and overall performance.
  • Oversee internal coordination for approvals, follow-ups, and work completion.
  • Assist in operational activities such as KYC verification, documentation follow-up, form checks, and submission.
  • Coordinate with logistics/courier partners for document dispatch and receipt.
  • Maintain inventory of office supplies, stationery, and operational material.
  • Support HR/Operations team in administrative tasks like attendance, leave tracking, and staff coordination (if assigned).

3. Required Skills & Competencies

  • Strong knowledge of accounting principles (Tally, Zoho Books, QuickBooks, or any accounting software).
  • Proficiency in MS Excel (VLOOKUP, Pivot Table, Formulas), Word, and Email communication.
  • Good understanding of operational workflow and documentation processes.
  • Strong analytical abilities, accuracy, and attention to detail.
  • Ability to multitask, manage deadlines, and handle team coordination.
  • Good interpersonal communication for vendor interaction and client coordination.
  • Problem-solving attitude with a proactive approach.

4. Qualifications & Experience

  • Education:

    B.Com / M.Com / MBA (Finance) or equivalent qualification.
  • Experience:

    1–4 years of experience in accounting and operational roles in financial services, NBFC, insurance, mutual funds, or corporate administration.
  • Additional:

    Knowledge of GST/TDS compliance preferred; financial services experience is an added advantage.

5. Key Performance Indicators (KPIs)

  • Accuracy and timeliness of accounting entries.
  • Compliance with GST, TDS, and audit requirements.
  • Speed and quality of operational task completion.
  • Efficiency in client/vendor coordination.
  • Ability to produce accurate MIS reports.
  • Documentation completeness and error rate.
  • Internal workflow turnaround time.
