Key Responsibilities:

1. Order Processing & Sales Coordination

  • Process customer POs and validate pricing, Incoterms, and specifications.
  • Prepare proforma invoices and handle end-to-end sales order processing.
  • Coordinate with sales, logistics, and customers to ensure timely dispatch and delivery.
  • Maintain accurate order records and support the sales team with documentation and quotations.
  • Provide after-sales support including warranty, AMC, and service documentation.

2. Purchase & Vendor Coordination

  • Raise and follow up on domestic and international purchase orders based on sales and inventory requirements.
  • Coordinate with vendors for material readiness, packing lists, invoices, and COA.
  • Handle documentation for customs clearance (including ADC documents and technical write-ups).
  • Negotiate pricing, timelines, and manage strong vendor relationships.
  • Monitor stock levels and work closely with internal teams to ensure smooth supply chain operations.

3. Tender Management & Documentation

  • Track and manage tender opportunities via GeM, CPP, and other institutional portals.
  • Coordinate with technical/sales teams for timely and compliant tender submissions.
  • Handle online bid submissions, registration, document uploads, and compliance.
  • Maintain tender records, manage bid clarifications, and engage with government procurement teams.

Key Skills Required:

  • Strong understanding of order processing, sales coordination, and procurement.
  • Hands-on experience with GeM and government e-tendering platforms.
  • Proficient in MS Excel, Word, PowerPoint, and basic ERP/CRM systems.
  • Good command of email communication, documentation, and typing skills.
  • Excellent interpersonal, multitasking, and follow-up abilities.
  • Adaptable, analytical, and collaborative mindset with a high level of ownership.

Qualifications:

  • Graduate in Commerce, Science, or any relevant discipline.
  • 2–5 years of experience in sales coordination, procurement, or tendering (preferably in the lab/scientific industry).
  • Familiarity with laboratory or analytical instruments is an added advantage.
