Job Description

We are looking for a professional and experienced Receptionist / Admin & Travel Coordinator to manage front office operations, provide administrative support, and coordinate all travel-related arrangements for employees. The ideal candidate will have 5+ years of relevant experience, excellent organizational skills, and the ability to multitask efficiently in a fast-paced environment.

Key Responsibilities:

Front Desk & Administration

Greet and assist visitors, clients, and employees with professionalism.

Manage phone calls, emails, and correspondence.

Maintain records, reports, and office documentation.

Oversee office supplies, housekeeping, and vendor coordination.

Ensure compliance with office policies and security protocols.

Travel Coordination

Plan, book, and coordinate domestic & international travel (flights, trains, hotels, cabs).

Handle visa applications, immigration formalities, and travel documentation.

Maintain travel expense records and ensure adherence to company travel policies.

Liaise with travel agencies, airlines, and hotels for best rates and services.

Provide end-to-end support for employee travel during business trips and fieldwork.

People & Visitor Management

Maintain visitor logs and access protocols.

Support HR/Admin with onboarding tasks and employee arrangements.

Key Skills & Competencies:

Strong communication and interpersonal skills.

Excellent organizational and multitasking abilities.

Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).

Knowledge of travel booking systems, visa processes, and international travel regulations.

Ability to handle sensitive information with discretion.

Customer-focused and problem-solving attitude.

Qualifications:

Graduate in any discipline (Preferred: Administration / Management / Travel & Tourism).

Minimum 5 years of experience in Reception/Admin/Travel coordination roles.
