Job Description

Job Responsibilities Receptionist (Automotive Company)

Front Desk & Guest Management

Welcome customers, suppliers, and visitors in a courteous and professional manner.
Maintain a tidy and presentable reception area showcasing the company’s automotive brand image.
Guide visitors to the appropriate department or staff member.

Call & Inquiry Handling

Answer incoming calls, route them to the correct departments, and take accurate messages.
Respond to general inquiries regarding automotive services, spare parts availability, and company information.

Customer Service Support

Assist walk-in customers with appointment bookings for vehicle servicing, test drives, or sales consultations.
Coordinate with the service department for customer follow-ups and feedback.

Appointment & Meeting Coordination

Manage the appointment calendar for sales, service, and management meetings.
Arrange refreshments, meeting room setup, and materials for client presentations.

Documentation & Administration

Maintain records of customer visits, test drive logs, and service schedules.
Handle incoming and outgoing mail, courier services, and official documents.
Assist in preparing basic sales or service reports for management.

Billing & Payment Assistance
(if applicable)

Support in processing customer payments for automotive services and spare parts.
Issue receipts and maintain transaction records.

Coordination with Departments

Communicate customer needs and inquiries to the relevant departments (Sales, Service, Spare Parts).
Support marketing or promotional activities such as car launch events or service camps.

Compliance & Safety

Ensure all visitors follow company safety protocols while entering the service area.
Maintain confidentiality of customer and company information.
