Job Description

We are seeking a poised, highly professional, and discreet Receptionist to serve as the first point of contact for high profile clients and dignitaries. The ideal candidate will have exceptional interpersonal skills, a strong understanding of protocol and confidentiality, and the ability to thrive in a fast-paced, high-profile environment.

Key Responsibilities:

  • Greet and welcome clients, visitors, and officials with courtesy, professionalism, and adherence to formal protocol.
  • Manage and screen all incoming calls and messages with diplomacy, routing them appropriately.
  • Maintain visitor logs and ensure all guests are properly vetted and scheduled.
  • Coordinate appointments and meeting schedules in alignment with the executive calendar.
  • Liaise with security personnel to ensure client and visitor access is properly managed.
  • Handle sensitive documents and conversations with the utmost confidentiality and discretion.
  • Maintain a clean, organized, and professional reception area.
  • Provide administrative support including handling correspondence, preparing briefing materials, and coordinating logistics for meetings.
  • Serve as a representative of the office's image and values when interacting with clients profile figures and the public.

Qualifications:

  • Proven experience as a receptionist or front-desk representative, ideally in a official, diplomatic, or high-profile professional setting.
  • Strong communication skills (verbal and written), including the ability to manage sensitive interactions with tact and poise.
  • Discretion and trustworthiness; must handle confidential information professionally.
  • Exceptional organizational and multitasking abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and appointment scheduling tools.
  • Knowledge of official protocol, public visit structure, or standard culture is a plus.
  • Fluency in English is required; additional fluency in local languages are an advantages.
