Purchase Specialist

You will be responsible for receiving and logging all vendor bills related to vehicle hire and service operations. You will verify bills against duty slips, bookings, and purchase orders (if applicable), ensuring accuracy in billing details such as billing name, PAN number, GST, rate card, and other supporting documents. In case of discrepancies, you will coordinate with the Billing, Operations, and accounts teams to resolve issues. Vendor bills will be processed only after complete validation of the duty data and supporting documents. Follow-up with vendors for pending documents, corrections, and clarifications will be part of your duties. Maintaining a tracker of all vendor bills, including received, verified, approved, and paid bills, will be crucial. You will also be required to keep a clear record of held bills due to errors or mismatches and follow up for resolution, ensuring that all bills adhere to compliance norms such as GST, PAN, invoice format, and signature as per policy guidelines. As for requirements, a Graduate degree in Commerce, Business Administration, Finance, or a related field is necessary. You should possess skills in invoice verification and documentation, attention to detail, coordination, and follow-up abilities. Proficiency in MS Excel and billing software, along with familiarity with GST, TDS, and basic accounting principles, is essential. Experience in transport, travel, logistics, or a service-based company is preferred. Additionally, familiarity with ERP or e-invoicing portals like Coupa or SAP would be advantageous.
