Purchase Executive

1. Procurement & Sourcing

• Identify, evaluate, and onboard reliable suppliers for raw materials, components, packaging materials, and consumables used in medical device production.
• Source specialized parts such as electronic components, polymers, stainless steel, and sterilization supplies compliant with medical standards.
• Request, analyze, and negotiate quotations to ensure competitive pricing, quality, and timely delivery.
• Maintain alternate vendor options to mitigate supply risk.

2. Purchase Order Management

• Create and process purchase orders (POs) in

  SAP MM systems (SAP etc.).

• Track order status and ensure suppliers adhere to agreed lead times.
• Resolve PO discrepancies, invoice issues, and shipment delays.

3. Compliance & Quality Coordination

• Ensure all purchased materials meet

  ISO 13485

  ,

  FDA

  ,

  CE

  , and other regulatory requirements.
• Coordinate with the Quality Assurance and Quality Control (QA/QC) teams for vendor audits, incoming inspection, and material acceptance.
• Maintain supplier quality documentation such as COAs, test reports, and regulatory certificates.

4. Inventory & Material Planning

• Work closely with production and planning teams to forecast material requirements based on MRP and production schedules.
• Monitor inventory levels to prevent shortages or overstock situations.
• Support planning of safety stock and reorder levels.

5. Vendor Management

• Build and maintain strong supplier relationships and address performance issues.
• Conduct periodic vendor performance reviews (delivery, quality, pricing, responsiveness).
• Negotiate terms, contracts, and long-term supply agreements.

6. Cost Control & Optimization

• Analyze cost trends and propose cost-saving opportunities without compromising quality.
• Participate in value engineering and alternate material evaluation.
• Maintain cost records and ensure budget adherence.

7. Documentation & Reporting

• Maintain accurate purchasing records, GRNs, vendor certifications, and compliance documents.
• Prepare regular reports on procurement performance, material shortages, and cost analysis.
• Ensure documentation readiness for internal and external audits (ISO, FDA, regulatory bodies).

8. Logistics & Delivery Coordination

• Coordinate with logistics partners for inbound transportation.
• Ensure proper documentation for customs clearance if importing medical-grade materials or equipment.
• Track shipments and escalate delays.

9. Cross-Functional Collaboration

• Work with R&D for new material identification and sourcing during product development.
• Collaborate with Finance for vendor payments and budgeting.
• Support Production, Engineering, QA, and Warehouse teams for seamless operations.
