Purchase Executive

Role & responsibilities

A. Procurement & Sourcing

• Source materials such as cement, steel, aggregates, electricals, plumbing, tiles, sanitary ware, hardware, paints, and other construction-related items.
  
• Float enquiries, collect quotations, and prepare comparative statements (CS).
  
• Negotiate prices, payment terms, and delivery timelines with vendors.
  
• Finalize purchase orders (PO) in line with project requirements and budget.
  

B. Vendor Management

• Identify new vendors and maintain a robust vendor database.
  
• Conduct vendor evaluation based on quality, pricing, and service reliability.
  
• Maintain strong relationships with suppliers for uninterrupted supply.
  

C. Material Planning & Coordination

• Coordinate with project managers, site engineers, and storekeepers for material requirements.
  
• Track material consumption and maintain inventory control.
  
• Ensure timely delivery of materials to sites; follow up on dispatch schedules.
  

D. Documentation & Compliance

• Prepare and process POs, GRNs, delivery challans, and supporting paperwork.
  
• Maintain accurate records in ERP / SAP / Tally (as applicable).
  
• Ensure compliance with company policies, GST documentation, and audit requirements.
  

E. Cost Control & Budgeting

• Monitor material prices and update the management regularly.
  
• Contribute to cost-saving initiatives and procurement efficiency.
  
• Avoid excess procurement and minimize wastage.
  

3. Skills & Competencies

• Strong negotiation and communication skills.
  
• Good knowledge of construction materials and market rates.
  
• Understanding of GST, taxation, billing, and documentation.
  
• ERP / SAP / Tally experience preferred.
  
• Vendor development & relationship management.
  
• Analytical and cost-conscious approach.

Key Points

• Office-based with frequent site visits.
  
• Must be able to handle multi-project procurement simultaneously.
  
• Travel involved for vendor meetings and material inspections.
