Job Description

Role & responsibilities

1. Procurement & Purchasing

  • Create purchase requests, quotations, and purchase orders.
  • Source materials and products as per project or department requirements.
  • Compare vendor quotations and support in price negotiation.
  • Follow up on purchase orders, delivery timelines, and pending items.

2. Vendor Coordination

  • Identify new vendors and maintain strong relationships with existing vendors.
  • Collect quotations, negotiate prices, and evaluate vendor performance.
  • Coordinate with vendors for material dispatch, invoice submission, and documentation.

3. Material & Inventory Support

  • Track material requirements from project sites and departments.
  • Follow up with logistics for delivery, transportation, and receiving.
  • Coordinate with stores/site teams to confirm material receipt and quality checks.

4. Documentation & Record Keeping

  • Maintain purchase orders, quotations, vendor lists, and price comparisons.
  • Update procurement trackers, GRN (Goods Receipt Notes), and delivery status reports.
  • Ensure proper filing and documentation for audits and compliance.

5. Coordination with Internal Teams

  • Coordinate with Project, Store, Accounts, and Engineering teams for procurement needs.
  • Share purchase updates and delivery timelines with site teams.
  • Support Accounts department for invoice verification and payment processing.

6. Compliance & Cost Control

  • Ensure compliance with company procurement policies and procedures.
  • Assist in cost optimization by evaluating alternative vendors or materials.
  • Maintain transparency and fairness in procurement processes.

Skills Required:

  • Strong negotiation and communication skills
  • Knowledge of procurement processes and vendor management
  • Good understanding of engineering materials (preferred, not mandatory)
  • Proficient in MS Office (Excel, Word)
  • Good follow-up and coordination ability
  • Detail-oriented with strong documentation skills
  • Ability to manage multiple tasks and deadlines
