The Proposal Manager is responsible for managing end-to-end proposal development, including reviewing RFP/RFQ documents, coordinating with cross-functional teams, preparing technical and commercial proposals, and ensuring timely submission. The role requires strong project management, attention to detail, and the ability to create high-quality proposals that align with customer requirements and organizational strategy.Key Responsibilities 1. Proposal Development - Lead the entire proposal process from receipt of RFP/RFQ to final submission. - Analyze client specifications, tender documents, commercial terms, and technical requirements. - Prepare detailed technical proposals, commercial offers, costing sheets, and compliance matrices. Ensure proposals are complete, accurate, and aligned with company capabilities. 2. Cross-Functional Coordination - Coordinate with engineering, design, procurement, finance, legal, and operations teams to gather necessary inputs. - Conduct review meetings to clarify scope, identify risks, and finalize proposal strategy. - Ensure timely collection and consolidation of data for proposal preparation. 3. Commercial Strategy & Costing - Develop pricing strategies in consultation with sales and management. - Prepare cost estimates, BOQs, and pricing models. - Identify cost optimizations and value engineering opportunities. 4. Documentation & Quality Control - Format and structure proposals professionally for high impact. - Maintain consistency in branding, language, and messaging across all submissions. - Conduct quality checks for technical accuracy and compliance with customer requirements. 5. Customer Interaction - Clarify technical and commercial queries with customers during the bidding process. -Participate in pre-bid meetings, presentations, and negotiations as needed. 6. Process Management- Maintain a centralized database of proposals, templates, and technical documents. - Track proposal progress, status of submissions, and win/loss analysis. - Implement process improvements to increase efficiency and win rates. Qualifications & Skills Education - Bachelor’s degree in Engineering, Business Administration, or related field. - MBA or specialized certification in proposal management (e.g., APMP) preferred. Experience - 3–7 years of experience in proposal/bid management or estimation. - Experience in project-based or capital equipment industries (EPC, manufacturing, engineering, IT, construction, etc.) preferred. Technical Skills - Strong understanding of project costing, technical documentation, and contract terms. - Ability to read technical drawings, specifications, and SOW documents. - Proficiency in MS Office (Excel, Word, PowerPoint) and proposal tools/CRM systems. Soft Skills - Excellent written and verbal communication. - Strong project management and organizational skills. - Ability to work under pressure and meet tight deadlines. - Analytical thinking, attention to detail, and problem-solving ability. Key Performance Indicators (KPIs) - Proposal quality and compliance rate. - On-time submission performance. - Win ratio and revenue impact. - Accuracy of cost estimates. - Cross-team coordination effectiveness.
