Process Associate / Virtual Assistant

Responsibilities

Transaction & Documentation Support

• Manage and maintain

  real estate CRMs

  such as AppFile, ensuring accurate records and timely updates.
• Handle

  transaction documentation

  , including uploading, organizing, and reviewing files for compliance.
• Assist in preparing and coordinating

  transaction-related reports, checklists, and compliance files

  .
• Shadow the transaction process to support agents and ensure a smooth client experience.

Listing Management

• Add and update

  property listings

  on Zillow, MLS, Affordable Housing, and other platforms.
• Demonstrate knowledge of

  MLS systems

  to assist with property updates and compliance.

Administrative Support

• Provide

  email management

  , including drafting, organizing, and responding on behalf of agents.
• Perform

  general admin tasks

  , such as data entry, calendar management, meeting scheduling, and report generation.
• Support

  file and database management

  , ensuring confidentiality and accuracy.

Tools & Communication

• Use

  Google Suite (Docs, Sheets, Forms, Drive, Gmail)

  to create and manage documents, forms, and shared files.
• Edit, annotate, and prepare documents using

• Communicate effectively with agents and clients, ensuring professional and timely interactions.
• Adapt quickly to new tools, workflows, and processes with a detail-oriented and solution-driven approach.

Requirements

• Minimum 1 year of experience as a real estate assistant, transaction coordinator, or in a similar administrative role.
• Familiarity with

  real estate CRMs

  (AppFile preferred).
• Strong knowledge of

  MLS systems

  and property listing platforms (Zillow, Affordable Housing, etc.).
• Excellent

  communication, organizational, and multitasking skills

• Proficiency in

  Google Workspace

  and online document editing tools.
• Quick learner with a

  proactive and independent work style

• Experience working remotely is preferred but not required.
• High school diploma or equivalent required; Associates degree or higher preferred.
