Responsibilities Transaction & Documentation Support Manage and maintain real estate CRMs such as AppFile, ensuring accurate records and timely updates. Assist in preparing and coordinating transaction-related reports, checklists, and compliance files . Shadow the transaction process to support agents and ensure a smooth client experience. Administrative Support Provide email management , including drafting, organizing, and responding on behalf of agents. Perform general admin tasks , such as data entry, calendar management, meeting scheduling, and report generation. Support file and database management , ensuring confidentiality and accuracy. Tools & Communication Use Google Suite (Docs, Sheets, Forms, Drive, Gmail) to create and manage documents, forms, and shared files. Edit, annotate, and prepare documents using DocHub, Sejda, and similar platforms . Communicate effectively with agents and clients, ensuring professional and timely interactions. Adapt quickly to new tools, workflows, and processes with a detail-oriented and solution-driven approach. Requirements Minimum 1 year of experience as a real estate assistant, transaction coordinator, or in a similar administrative role. Familiarity with real estate CRMs (AppFile preferred). Strong knowledge of MLS systems and property listing platforms (Zillow, Affordable Housing, etc.). Excellent communication, organizational, and multitasking skills . Proficiency in Google Workspace and online document editing tools. Quick learner with a proactive and independent work style . Experience working remotely is preferred but not required.
