About the Team:
We are seeking a detail-oriented and proactive Process Associate to join our dynamic BPM – Lease Abstraction team. In this role, you will play a vital part in extracting and interpreting critical data from real estate and legal documents, ensuring complete accuracy and adherence to project-specific requirements. As a key contributor to our lease abstraction operations, you will help transform complex lease agreements into structured, actionable insights that support strategic decision-making across our client portfolio.
Apex India office is in Pune or Hyderabad and Apex Bulgaria office is in Sofia, but we offer smart working, with some time working from home, as required.
Key duties and responsibilities
- Lease Document Review - Analyze commercial and residential lease agreements to identify and extract critical financial, legal, and operational terms.
- Data Abstraction - Abstract key information such as rent schedules, renewal options, termination clauses, operating expenses, and other lease provisions with 100% accuracy.
- Database Entry and Management - Input abstracted data into lease management systems or client-specific platforms, ensuring consistency and completeness.
- Quality Assurance - Perform self-reviews and participate in peer reviews to maintain high standards of accuracy and compliance with project guidelines.
- Client-Specific Customization - Adapt abstraction formats and processes to meet unique client requirements and project specifications.
- Collaboration and Communication - Work closely with team members, project leads, and cross-functional departments to resolve queries and ensure smooth workflow.
- Documentation and Reporting - Maintain proper documentation of abstracted leases and generate reports as required for internal tracking or client delivery.
- Compliance and Confidentiality - Ensure all lease data is handled in accordance with confidentiality agreements and regulatory standards.
- Continuous Improvement - Contribute to process enhancements, automation initiatives, and best practices to improve efficiency and accuracy
Experience and skills:
- Education: Any Graduate, preferably B.Com
- 1–3 years of experience in lease abstraction, real estate administration, or legal documentation review.
- Proven track record of working with commercial and residential lease agreements across diverse geographies and property types.
- Experience using lease abstraction platforms, document management systems, or real estate databases (e.g., Yardi, MRI, Lucernex, Visual Lease, CoStar).
- Familiarity with BPM (Business Process Management) environments and client-driven service delivery models.
- Attention to Detail: Ability to identify and extract nuanced lease terms with precision and consistency.
- Legal and Real Estate Acumen: Understanding of lease structures, terminology, and implications of clauses such as CAM, rent escalations, and renewal options.
- Analytical Thinking: Strong ability to interpret complex documents and assess their impact on financial and operational metrics.
- Technical Proficiency: Skilled in Microsoft Excel, Word, and lease abstraction tools; comfortable navigating digital document workflows.
- Communication: Clear and concise written communication to produce accurate lease summaries and collaborate with internal teams.
- Time Management: Capable of handling multiple leases and meeting tight deadlines without compromising quality.
- Quality Assurance: Commitment to maintaining high standards through peer reviews, audits, and continuous improvement.
Nice to have:
- Exposure to global lease portfolios and multi-jurisdictional legal frameworks.
- Knowledge of IFRS 16 / ASC 842 lease accounting standards.
- Experience in process automation or working with AI-assisted abstraction tools.
