Position Overview
The Manager - Security is responsible for overseeing both the Physical & Electronic Security operations across multiple sites or geographic areas, ensuring the protection of people, property, and assets.
This role may involve managing a team of security officers / executive & outsourced Security manpower, coordinating with other departments, implementing & governance of security policies, and conducting risk assessments to ensure safety and security standards are maintained in line to the laid down process of the Organisation.
The Manager works closely with Security Manager to align local operations in line to the organizational requirement. The Manager should have sound knowledge on Physical & Electronic Security Operations which includes parameters such as Physical Security Guard Force Management & Electronic Security Aspects.
Key Responsibilities
BMS Operations:
- To Monitor and ensure all Reports with respect to Access Control System are shared to the respective stakeholders as per the laid down procedures.
- Ensure 100% upkeep of BMS/Physical Security Equipments without any issues/downtime.
- To have sound knowledge on Physical & Electronic Security, HSE Operations.
- Assess and review existing procedures and controls and strive for continual improvement.
- Standardization – Standardisation of physical security policies and procedures.
- Training and Awareness - Drive strong security culture across all locations • Reporting and MI for physical security • Security Improvements & Initiatives - Drive physical security related improvements and initiatives / projects within the organization.
- Review Adequacy and Effectiveness of security plan.
- Incident management, Investigation and Reporting.
- Security Management Review.
- To ensure Daily, Weekly, Monthly, Quarterly, BI-Annual Exercises are completed by in line to the Physical Security Policy.
- Collaborate with AMC and external vendors on need basis for installation, upgrades, maintenance & upkeep of Electronic Security Systems.
- To have Trackers maintained for all activities that invoices Security or BMS Activities – Access cards, ID Cards, Lanyards, Lost & Found, Medicines, Masks.
- Upkeep of BMS equipments:
i. Access Control System – Different make & models.
ii. CCTV System – Analog/IP – DVR’s NVR’s – POE Switch configurations.
iii. Fire Alarm System (FAS) – Addressable/Conventional.
iv. Very Early Smoke Detection Apparatus (VESDA)
v. FM-200 (heptafluoropropane)
vi. RODENT.
vii. Water Leak Detection system (WLD).
viii. Fire Extinguishers – CO2, ABC, DCP, Clean Agent.
ix. Sprinkler Systems.
x. Public announcement system.
xi. Fire Hydrant etc.
Physical Operations Management
- To oversee security operations across multiple locations or areas, ensuring that all security protocols, policies, and procedures are being followed.
- Outsourced Manpower Deployment as per Site Requirement - Ensure that adequate Security & BMS / SOC staff are deployed as per the site requirement and there are no security lapses leading to shortfall of manpower whatsoever (any concerns such as non-performance by vendor to be highlighted promptly).
- Training as per the defined in PSARA & its frequency to be imparted by vendor and proper records to be submitted by vendor along with proper cover letters & attendance sheet.
- Compliance documents such as Bio Data, Antecedent Report, Police Verification, Certificate, Aadhar Colour Copy, Affidavit (n case of Outstation candidates) to be filed as appropriate and kept ready for Audits.
- Daily/Regular Check of Attendance Records of 3rd Party staff and to have it maintained in a tracker such that monthly man-days reconciliation between us TP & Vendor is aligned.
- To ensure that all Material Movement – both Inward & Outward happens only as per the defined process of the organisation and reconciliation of the assets that have not been received have to be shared over email for Records.
- Inventory Management of Visitor Pass, Temporary ID Badges, Exception Badges to be performed periodically – Monthly & records to be retained.
- Authorisation Matrix to be created for Gate pass Movement along with Sample signatures such that Security team validates the same and followed by email process (No verbal approvals to be entertained).
- Monitor and review the effectiveness of security measures, adjusting strategies as necessary to mitigate risks and improve security coverage.
- Liason with Local Authorities such as Fire, Ambulance, Labour, Legal, Police etc as & when the situation demands.
- To have better knowledge on ISO & NBC Standards along with Project Knowledge of Safety & Security Systems.
- To coordinate with LL or SEZ Officers on a regular basis and to have better rapport with them.
- Ensure the proper functioning of security systems (e.g., CCTV, access control, alarms) across the area under management.
- To have a periodic review of the site operations with both vendor and Security Leadership team.
Team Leadership and Staff Management:
- Lead, train & mentor the BMS teams to enhance their technical & operational skills.
- Assign tasks, monitor performance and ensure timely completion of projects.
- Manage and supervise security personnel across the assigned area, ensuring staffing levels meet operational needs and that security officers are adequately trained.
- Recruit, train, and onboard new security staff to ensure they are equipped with the necessary skills and knowledge to perform their duties effectively.
- Develop and implement staff schedules, ensuring 24/7 coverage where necessary.
- Provide ongoing leadership, mentoring, and performance evaluations for security staff. Address performance issues and develop plans for improvement.
- Lead by example in maintaining high standards of conduct, appearance, and professionalism.
Vendor Coordination:
- Evaluate Vendor Proposals and manage service agreements.
- To have periodic review (both Monthly & Quarterly) of their performance and have it documented on email formally with MOM.
- To coordinate on PR/PO process with both vendor and Procurement teams and ensure timely processing of Payments.
- To obtain NOC from vendors periodically such that there are no pending payments to vendors.
- To Coordinate with vendors and arrive at a Clear BOQ for any upcoming Projects related to BMS/Physical Security.
- To formulate a Preventive Maintenance Calendar and roll out communication in prior such that the vendor does not skip PM Activities and are compliant on all aspects.
- A Comprehensive Snag List to be prepared and shared to both Vendor and Management on a weekly basis such that there are no surprises later on.
Audits, Statutory & Compliance Management:
- Security Vendor to be Compliant on all parameters listed by PASARA of State.
- Attendance Records to be maintained in line to the legal regulations of state.
- Wage Structure to Compliant to the Latest MWA of the state, any revisions to be highlighted to both the vendor and TP Management along with appropriate Govt Notifications for obtaining clearance from Compliance team of TP & there by taking it to Procurement for addendum creation.
- To Coordinate with Compliance team & vendor for Compliance Review of Attendance & Statutory Part - 15 Sets of Mandatory Compliance Documents needs to be produced by vendor post end of month and the same needs to be shared with TP – Compliance team for validation on Compliance regulation standpoint.
- Compliance Documents such as Bio Data, Antecedent Report, Police Verification, Certificate, Aadhar Colour Copy, Affidavit (n case of Outstation candidates) to be filed as appropriate and kept ready for Audits.
- A soft copy of the same to be maintained in Excel such that tracking of Police Verification happens on a real-time basis and the guards/agency is alerted before expiry of the PVC.
- Updation of Emergency Evacuation/Floor Plan of the premises.
- Any Specific Requirement with respect to Business Client Audits to be taken Due care and to be reviewed/Calibrated periodically with both Business & Security Leadership Teams, tracker to be maintained and shared on regular basis.
- All Drawings, Inventories, SLD’s, Handover documents etc ought to be stored in a repository and to ensure it is made available at all times.
- ERT, First Aid Trainings to be imparted to respective teams and the list to be updated.
Business Continuity & Crisis Management:
- To be self-updated on Crisis or BCM Situations and provide real time updates to BCM Team & Management on an instantaneous manner.
- To ensure that we provide 100% Support to business teams during such situations such that there are no disruption to business unless/until called-off/declared by BCM team.
- To ensure adequate staffing with respect to Manning of premises and BMS room is available even during Crisis Situations, as our critical Systems such as Data Centres, UPS rooms, HUB rooms ought to be functional.
- To recruit resources from both nearby and at a certain radius such there is adequate staffing at all times.
- To ensure that regular bac-up of Access Control-SQL Server is taken and stored securely such that we have adequate back up even in case of Server Crash or System Issue.
Risk Assessment and Incident Management
- Conduct regular risk assessments for each site under your jurisdiction, identifying potential vulnerabilities and security threats.
- Develop and implement corrective actions to address identified risks and enhance security measures.
- Respond to security incidents across the area, including coordinating with local law enforcement, emergency services, and senior management as required.
- Lead investigations into security breaches or incidents, preparing detailed reports, and ensuring follow-up actions are taken.
Adherence pf Security Policy and Procedure Implementation
- Implement corporate security policies, procedures, and best practices across all sites in the designated area.
- Ensure all security staff are fully briefed and trained on security policies and procedures.
- Ensure compliance with legal, regulatory, and industry standards related to security operations.
- Regularly review and update security procedures to ensure they are relevant and effective.
Collaboration and Communication
- Work closely with other departments (e.g., HR, Facilities, Operations) to address security issues and implement cross-functional solutions.
- Communicate regularly with senior management and security teams to provide updates on security status, emerging threats, and operational performance.
- Foster strong working relationships with local law enforcement, fire departments, and other relevant external agencies.
Budget and Resource Management
- Develop and manage the security budget for the area, ensuring cost-effective solutions without compromising on security.
- Manage the procurement of security equipment and resources across multiple sites.
- Monitor operational expenses and identify areas for potential cost savings while maintaining high security standards.
Training and Development
- Coordinate ongoing training programs for security staff to keep them updated on the latest security techniques, technologies, and compliance requirements.
- Ensure all security officers are certified in required areas such as first aid, CPR, and emergency response.
- Promote a culture of continuous improvement and professional development within the security team.
Working Conditions
- The position may involve frequent travel between various sites within one or multiple cities.
- The Manager - Security may be required to work in various environmental conditions, including both office and on-site locations.
- Occasional physical activity may be required, such as conducting site inspections and responding to incidents.
- This position may require on-call duty or extended hours during security emergencies or incidents.
