Job Description

Role Overview

The Personal Assistant (PA) to the Director will provide high-level administrative, secretarial, and organizational support to ensure the Directors time is efficiently managed and business priorities are met. The role requires discretion, professionalism, and excellent communication skills, as well as the ability to anticipate needs and proactively handle business and personal matters.

Key Responsibilities

Administrative & Secretarial Support

  • Manage the Director’s daily calendar, schedule meetings, and coordinate appointments.
  • Organize and prepare for meetings, including drafting agendas, presentations, and minutes.
  • Handle confidential correspondence, emails, and phone calls with discretion.
  • Maintain records, reports, and filing systems for easy retrieval.

Business Coordination

  • Liaise with senior executives, clients, vendors, and stakeholders on behalf of the Director.
  • Track project timelines, follow up on pending tasks, and ensure deadlines are met.
  • Prepare MIS reports, business summaries, and briefing notes as required.
  • Support in research, data analysis, and drafting business documents, proposals, or communications.

Travel & Logistics Management

  • Plan and coordinate domestic and international travel itineraries.
  • Arrange visas, tickets, accommodation, and local transport.
  • Prepare travel briefs and ensure all arrangements are seamless.

Personal Assistance

  • Manage personal tasks and confidential matters for the Director as assigned.
  • Handle event planning, hospitality, and protocol support for guests.
  • Ensure smooth day-to-day functioning by anticipating needs.

Key Skills & Attributes

  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask, prioritize, and work under pressure.
  • Discretion, confidentiality, and professionalism at all times.
  • Interpersonal skills to interact with senior stakeholders effectively.

Qualifications & Experience

  • Bachelor’s degree (preferably in Business Administration, Commerce, or related field).
  • 2–5 years of experience as a Personal Assistant, Executive Assistant, or similar role.
  • Experience in handling senior-level executives’ offices will be an added advantage.
