Job Description

Key Responsibilities of a Personal Assistant

1. Administrative & Organizational Support

  • Diary and Calendar Management: Scheduling appointments, meetings, and events; resolving scheduling conflicts; and ensuring the principal is well-prepared for their commitments.
  • Communication Management: Screening phone calls, enquiries, and requests; managing and filtering emails; drafting correspondence, memos, and official documents on behalf of the principal.
  • Document Preparation: Creating reports, presentations (often using software like PowerPoint or Google Slides), and briefing papers for meetings.
  • Information and Data Management: Devising and maintaining office systems, including data management and filing (both digital and physical).

2. Logistical & Travel Coordination

  • Travel Arrangements: Booking complex national and international travel, including flights, hotels, visas, and ground transportation.
  • Itinerary Planning: Creating detailed travel itineraries and schedules.
  • Event Management: Organizing meetings, conferences, and corporate events. This can include venue booking, catering, invitations, and on-the-day coordination.

3. Communication & Gatekeeping

  • Liaison: Acting as a bridge between the principal and senior management, employees, clients, and other external partners.
  • Gatekeeping: Managing access to the principal, protecting their time from interruptions and unimportant matters.
  • Meeting Support: Attending meetings, taking minutes (action points), and ensuring that follow-up actions are completed.

4. Personal & Private Support

  • Personal Errands: Handling personal shopping, paying bills, and managing household matters.
  • Family Management: Coordinating family schedules, appointments (e.g., for children), and travel.
  • Household Staff: Managing or liaising with other staff like drivers, nannies, or housekeepers.
  • Personal Events: Organizing private events like birthday parties or family gatherings.

5. Financial & Reporting Tasks

  • Account Management: Account Transfer knowledge.
  • Budgeting: Assisting with budget tracking for projects or departments.
  • Invoicing: Handling basic invoicing and liaising with the finance department.

Job Type: Full-time

Pay: Up to ₹25,000.00 per month
