Job Summary

The Operations Executive is responsible for managing day-to-day operations of long-term rental urban transportation services. This role focuses on vehicle dispatch, real-time tracking, coordination with drivers and clients, and ensuring smooth, efficient, and reliable transportation operations. The executive plays a key role in maintaining service quality, operational efficiency, and customer satisfaction.

Key Responsibilities

Dispatch & Fleet Operations

  • Plan and manage daily vehicle dispatch for long-term rental clients.
  • Allocate vehicles and drivers based on schedules, routes, and service requirements.
  • Ensure optimal fleet utilization and minimal downtime.

Tracking & Monitoring

  • Monitor vehicles using GPS and tracking systems to ensure route adherence and timely service.
  • Identify and resolve delays, breakdowns, or route deviations in real time.
  • Maintain accurate trip, mileage, and utilization records.

Driver Coordination

  • Coordinate with drivers regarding schedules, assignments, and route changes.
  • Ensure driver compliance with company policies, safety standards, and client requirements.
  • Address driver issues, escalations, and operational queries promptly.

Client Coordination

  • Act as the primary point of contact for long-term rental clients for operational matters.
  • Ensure adherence to service-level agreements (SLAs).
  • Handle client feedback, complaints, and service adjustments professionally.

Operational Reporting

  • Prepare daily, weekly, and monthly operational reports (dispatch efficiency, fleet utilization, incidents).
  • Track KPIs related to punctuality, vehicle availability, and service quality.
  • Support audits and internal reviews with accurate operational data.

Compliance & Safety

  • Ensure compliance with local transport regulations and company policies.
  • Monitor vehicle documentation (permits, insurance, fitness certificates).
  • Promote safety-first operations for drivers and vehicles.

Process Improvement

  • Identify operational gaps and suggest improvements to dispatch and tracking processes.
  • Support implementation of new systems, tools, or SOPs to improve efficiency.

Required Skills & Qualifications

  • Bachelors degree or diploma in Operations, Logistics, Transportation, or a related field.
  • 1–3 years of experience in transportation, fleet operations, or logistics (urban mobility preferred).
  • Knowledge of GPS tracking systems and dispatch software.
  • Strong coordination, multitasking, and problem-solving skills.
  • Good communication skills (verbal and written).
  • Proficiency in MS Excel and basic reporting tools.
  • Ability to work in shifts, including weekends or holidays if required.

Preferred Skills

  • Experience in long-term rental or employee transportation services.
  • Understanding of urban transport regulations.
  • Ability to handle high-pressure, real-time operational situations.
  • Data-driven mindset for performance tracking and optimization.
