Job Description

Role & Responsibilities:

  • Manage day-to-day office administration and ensure smooth operations.
  • Organize and maintain digital and physical files, documents, and project folders.
  • Coordinate with engineers, draftsmen, freelancers, vendors, and clients as required.
  • Maintain project trackers, follow-up sheets, and status reports.
  • Handle scheduling, calendar management, and meeting coordination.
  • Draft and send professional emails, letters, and communication materials.
  • Assist in preparing invoices, maintaining payment records, and updating expense logs.
  • Manage document control, version updates, and ensure files are stored correctly.
  • Support HR activities such as attendance tracking, onboarding paperwork, and maintaining employee records.
  • Maintain office supplies, coordinate with service providers, and oversee general office upkeep.
  • Handle incoming calls, messages, and coordinate follow-ups.
  • Assist in preparing reports, presentations, and basic documentation required for projects.
  • Ensure proper organization of Google Drive and implementation of file naming conventions.
  • Support operational processes, checklists, templates, and internal systems.
  • Provide general administrative and coordination support across all departments as needed.

Preferred Candidate Profile:

  • Graduate in any discipline (Admin/Business background preferred but not mandatory).
  • 2-3 years of experience in Administration, Operations, or Office Coordination roles.
  • Strong proficiency in Google Workspace and MS Office applications.
  • Excellent communication skills (verbal & written).
  • Ability to organize, manage, and prioritize multiple tasks efficiently.
  • Detail-oriented with strong documentation and follow-up skills.
  • Comfortable coordinating with clients, vendors, and internal teams.
  • Professional, disciplined, and reliable work approach.
  • Self-motivated and proactive in handling responsibilities.
  • Experience in engineering, construction, or consultancy firms (added advantage but not mandatory).
  • Ability to adapt quickly and work in a fast-paced environment.
  • Strong problem-solving attitude with a willingness to learn and grow.
