Job Summary

The Operation Executive will be responsible for managing overall operations and ensuring the smooth functioning of administration, facilities, travel management, employee welfare, and safety measures within office. This role requires a proactive professional who ensures efficient and safe operations, serves as a

company representative on regulatory issues, and drives improvements in systems, processes, and reporting.The position also involves supervising operational staff and ensuring compliance with company policies and applicable laws.

Key Responsibilities:

Operations & Administration

- Oversee day-to-day office administration and operational activities.

- Manage facilities, housekeeping, and maintenance to ensure a safe and efficient workplace.

- Handle coordination with external agencies, vendors, and contractors.

- Oversee proper storage and inventory management for IT equipment, and office consumables.

- Manage asset lifecycle, including office furniture upkeep, maintenance, and replacement planning.

- Maintain accurate and up-to-date operational records and documentation.

Facilities & Compliance

- Oversee facilities management and ensure compliance with statutory requirements, including Labour Laws, PF/ESI, EHS, and Fire Safety regulations.

- Manage power and inverter systems to ensure continuous operations.

- Prepare documentation for facilities audits and participate in audit processes, driving closure on findings.

Travel & Logistics

- Manage travel and accommodation arrangements for employees on business trips.

- Handle visa processing and overseas travel coordination.

- Organize logistics for quarterly business meetings, including venue booking, travel, and accommodation.

Employee Support & Coordination

- Partner with the IT support team to coordinate laptop issuance and related IT logistics.

- Collaborate with the HR Operations team for employee onboarding and distribution of welcome kits and goodies.

- Manage guest visits and ensure a professional and hospitable experience.

Continuous Improvement

- Enhance operational procedures, systems, and information flow for improved efficiency.

- Support management reporting and process improvement initiatives across departments.

Skills & Qualifications:

- Bachelors degree in Business Administration, Management, or a related field.

- 3-4 years of experience in operations or facilities management.

- Excellent communication skills in English, Marathi, and Hindi.

- Strong collaboration skills with the ability to work effectively with multiple stakeholders.

- High sense of ownership and accountability to drive assignments to completion.

- Resilience and adaptability in fast-paced, evolving work environments.
