Job Description

  • Front desk management: Greet visitors, create a welcoming environment, and direct them to the appropriate person or office.
  • Communication: Answer and direct phone calls, take messages, and respond to emails.
  • Scheduling: Manage appointment calendars and schedule meetings for staff.
  • Administrative support: Handle incoming and outgoing mail and packages, perform data entry, file documents, and manage office supplies.
  • Visitor services: Maintain visitor logs, prepare security passes, and provide basic information to clients and vendors.
  • Office maintenance: Keep the reception area clean, tidy, and presentable.

Essential skills and qualifications

  • Skills: Excellent communication, customer service, and organizational skills are crucial, as is the ability to multitask effectively.
  • Education: A high school diploma or equivalent is typically required, and on-the-job training is common.
  • Experience: While on-the-job training is standard, prior experience in a customer service or administrative role can be beneficial.
  • Personality: Friendly and professional demeanor is important for making a good first impression.
