Job Summary

Office Executive

Key Responsibilities

  • Billing & Invoicing:

    Raise and submit accurate

    monthly bills/invoices to respective government departments/clients

    , ensure timely submission, and manage all related documentation for ongoing projects, strictly adhering to contract timelines.
  • Tender & e-Procurement Management (Crucial):

  • Oversee the end-to-end process of applying for government and PSU tenders.
  • Mandatory hands-on experience in using the CPP Portal, Government E-Tender Platforms, and the GeM (Government e-Marketplace) platform

    for tender submission and procurement.

  • Procurement & Market Visits:

    Be willing and able to visit local markets to obtain competitive quotations

    and execute necessary purchases related to project requirements, showcasing strong market and financial understanding.
  • Contract Compliance:

    Maintain an in-depth knowledge of, and ensure adherence to, the rules, regulations, and terms & conditions outlined in contracts from authorities like

    CPWD, MES, DRDO, and AAI

    , or any other relevant Government or PSU contracts.
  • Financial Record Keeping:

    Establish and maintain comprehensive purchase files, manage thorough

    bookkeeping

    records, and handle overall financial and management documentation efficiently.
  • Project Liaison:

    Proactively liaise with Site Supervisors/Engineers to obtain timely progress updates, secure necessary documentation, and ensure all financial and billing activities align with project timelines.

Required Skills and Qualifications

  • Experience:

    2 to 10 years

    of professional experience in an administrative or executive role, ideally within a company that deals with Government/PSU contracts.
  • e-Procurement Expertise (Mandatory):

    Must have strong working knowledge of the CPP Portal, Government E-Tender Platforms, and the GeM platform.

  • Contract & Financial Knowledge:

    Demonstrated operational understanding of

    CPWD, MES, DRDO, AAI

    contract terms, strong financial management, and thorough bookkeeping.
  • Educational Background:

    Any educational background

    is acceptable, provided the candidate possesses the strong functional knowledge mentioned above.
  • Technical Proficiency:

    Excellent command over

    MS Excel

    for detailed reporting and tracking, along with proficiency in other MS Office platforms (Word, PowerPoint).
  • Core Competencies:

    • Immaculate attention to detail and a zero-error approach to documentation.
    • Ability to work strictly within tight deadlines and time-bound mandates.
    • Strong interpersonal and communication skills.
    • Willingness to travel locally for market visits and purchases.
