Job Description

Office Maintenance & Cleanliness:

  • Ensure the office premises, common areas, and individual workstations are kept clean, tidy, and organized at all times.
  • Dusting furniture, cleaning surfaces, sweeping/mopping floors, and ensuring washrooms are maintained (if no dedicated housekeeping staff).
  • Manage waste disposal and ensure bins are emptied regularly.

Tea/Coffee & Refreshment Services:

  • Prepare and serve tea, coffee, and other refreshments to employees, guests, and visitors as required.
  • Maintain cleanliness of the pantry area, including utensils and equipment.
  • Keep track of pantry supplies and inform the supervisor for replenishment.

Mail & Document Handling:

  • Collect, sort, and distribute incoming mail, couriers, and documents to the respective departments or individuals.
  • Dispatch outgoing mail and couriers, including preparing packages and coordinating with courier services.
  • Assist in filing, photocopying, scanning, and binding documents as needed.

Errands & Deliveries:

  • Perform various external errands such as delivering documents to clients/vendors, collecting items from suppliers, or depositing/withdrawing cash from banks (if authorized and required).
  • Make local purchases for office supplies or other items as instructed.

Office Supplies Management:

  • Monitor and maintain inventory of office supplies (stationery, pantry items, cleaning supplies).
  • Inform the supervisor when supplies are low and assist in placing orders and stocking new deliveries.

Meeting Room Support:

  • Prepare meeting rooms before meetings (e.g., setting up chairs, ensuring cleanliness, arranging water/tea/coffee).
  • Clear meeting rooms after meetings.

Visitor Management:

  • Greet visitors professionally and direct them to the appropriate person or department.
  • Offer refreshments to visitors.

General Support:

  • Assist with setting up and organizing office events or functions.
  • Provide general assistance to office staff as requested (e.g., moving furniture, arranging seating).
  • Ensure all office equipment (e.g., printers, water dispensers) are in working order and report any malfunctions.
