Job Description

Job Summary
We are seeking a motivated and detail-oriented Office Assistant to join our team. The ideal candidate will be responsible for providing administrative support, managing front desk operations, and ensuring the smooth functioning of daily office activities. This role requires excellent organizational skills, proficiency in various office software, and the ability to communicate effectively with both internal and external stakeholders.

Responsibilities

  • Manage front desk operations, including greeting visitors and handling inquiries.
  • Answer and direct calls using a multi-line phone system with professional phone etiquette.
  • Perform data entry tasks accurately and efficiently.
  • Maintain organized filing systems for easy retrieval of documents.
  • Assist with calendar management, scheduling appointments, and coordinating meetings.
  • Provide customer support by addressing client needs and resolving issues promptly.
  • Utilize Microsoft Office Suite and Google Workspace for document creation and management.
  • Conduct bookkeeping tasks as needed, including basic accounting functions using QuickBooks.
  • Proofread documents to ensure accuracy and professionalism in all communications.
  • Support office management tasks, including inventory management and ordering supplies.
  • Collaborate with team members to improve administrative processes.

Qualifications

  • Previous office experience or clerical experience is preferred.
  • Strong computer skills with proficiency in Microsoft Office, Google Workspace, and QuickBooks.
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously.
  • Bilingual candidates are encouraged to apply for enhanced communication capabilities.
  • Experience in customer service or customer support roles is a plus.
  • Familiarity with dental or medical receptionist duties is advantageous but not required.
  • Strong typing skills and attention to detail for accurate data entry and documentation.
