About the Role

We are looking for a responsible and well-organized Office Assistant to manage day-to-day administrative activities. The role involves handling incoming calls, scheduling appointments, managing basic documentation, and ensuring smooth office operations. This position requires excellent communication skills and the ability to multitask in a professional environment.

Key Responsibilities

1. Call Handling & Front-Desk Support

  • Answer and route incoming calls in a polite and timely manner.
  • Maintain call logs and ensure proper follow-up on inquiries.
  • Welcome visitors, manage appointments, and coordinate meeting schedules.

2. Appointment & Calendar Management

  • Schedule and confirm appointments with clients, vendors, and internal teams.
  • Maintain updated calendars for meeting rooms and office resources.
  • Share reminders, meeting details, and follow-ups as required.

3. Office Administration

  • Oversee daily office operations and ensure all areas are well-maintained.
  • Manage office supplies, vendor coordination, and service requests.
  • Handle documentation, filing, and data entry tasks.

4. Communication & Coordination

  • Act as a point of contact for internal team coordination.
  • Draft and circulate basic communication such as memos, reminders, and updates.
  • Assist in organizing meetings, visitor arrangements, and office activities.

5. General Support Activities

  • HR and admin tasks during peak periods.
  • Manage courier services, parcel tracking, and mail handling.
  • Assist in any additional tasks assigned to ensure smooth workflow.

Required Skills & Qualifications

  • Bachelor’s degree or plus two with relevant experience.
  • Good communication skills in English and Malayalam.
  • Strong organizational and multitasking abilities.
  • Familiarity with office tools such as Google Workspace or MS Office.
  • Professional attitude, attention to detail, and reliable work ethics.

Preferred Qualities

  • Pleasant and approachable personality.
  • Ability to handle responsibilities independently.
  • Strong time-management and coordination skills.

Job Types: Full-time, Fresher

Pay: ₹10,000.00 - ₹15,000.00 per month

Ability to commute/relocate:

  • Kadavanthara, Kochi, Kerala: Reliably commute or planning to relocate before starting work (Required)
