Job Requirement

Role Overview

We are seeking a highly organized and detail-oriented Office Administrator with 2-4 years of experience to be the operational backbone of our office. In this role, you will be responsible for ensuring the smooth day-to-day functioning of our workplace, providing essential administrative support to various teams, and serving as a key point of contact for employees and visitors. The ideal candidate is a reliable problem-solver with excellent communication skills and a knack for multitasking in a dynamic environment.

Role Description

Office Management & Operations:

  • Maintain office cleanliness, organization, and overall professional appearance; liaise with building management and vendors.
  • Order, manage, and maintain office supplies, equipment, and inventory.
  • Coordinate with IT support for basic office technology issues and equipment setup for new hires.
  • Develop and implement efficient office procedures and filing systems.

Administrative Support:

  • Provide high-level administrative support to management and team members, including scheduling meetings, preparing documents, and making travel arrangements.
  • Prepare, edit, and format documents, reports, and presentations (MS Word, Excel, PowerPoint, Google Docs/Sheets).
  • Assist with the onboarding process for new employees (setting up desks, preparing welcome packets, coordinating training schedules).
  • Organize and maintain both digital and physical filing systems.

Communication & Coordination:

  • Serve as the primary point of contact for internal and external communications.
  • Draft and distribute internal memos, announcements, and newsletters.
  • Assist in planning and executing company events, meetings, and conferences (logistics, catering, setup).
  • Act as a liaison between staff and various departments to ensure effective communication and workflow.

Financial Administration:

  • Assist with basic bookkeeping tasks, such as processing invoices, expense reports, and purchase orders.
  • Manage petty cash and coordinate with the accounting/finance department.

Qualifications & Experience:

  • Required: 2-4 years of proven experience in an office administration, executive assistant, or similar role.
  • Associate or bachelors degree in business administration or a related field is preferred but not required.
  • Required: Proficiency in Microsoft Office Suite (especially Word, Excel, Outlook, and PowerPoint) and Google Workspace.
  • Experience with office management software.
