Job Description

As a Project Coordinator, your responsibilities during the Design Phase include reviewing project scope, documents, deliverables, and timelines. You will prepare work hour plans and project schedules in MS Project software, ensuring alignment with department heads and the project manager. Following up with various departments is essential to ensure timely completion of project documents and deliverables as per schedule. Communication with clients is crucial to address queries, provide updates, and manage unresolved issues efficiently. Internal coordination involves preparing query sheets, updating queries/comments from clients to departments, scheduling project meetings, and tracking pending tasks. De-bottlenecking tasks and obtaining client approvals on deliverables are key aspects of your role. Generating project reports, storing documents in the DMS system, organizing dispatch of hard copies if required, and managing client acknowledgments are part of your responsibilities. During the Execution Stage, you will review the BOQ, assess required tools/tackle, and review project budgets with the technical director. Planning manpower requirements, budgeting for project execution on-site, and coordinating procurement activities are essential for project success. Organizing project teams, overseeing material readiness, conducting FAT clearance, and managing site processes are crucial tasks. Regular meetings with project teams, resolving non-conformities, ensuring adherence to installation plans, and documenting client approvals are key responsibilities. Monitoring safety issues, team performance, and addressing disputes swiftly are essential for smooth project execution. Maintaining communication with customers, managing manpower changes, and ensuring compliance with site requirements are vital for project success. Your role requires proficiency in MS Office, MS Project, and AutoCAD, as well as strong planning, coordination, negotiation, and problem-solving skills. Being a team player, multitasker, and cost-saving expert will contribute to your effectiveness in this role.
