Job Description

Role Overview: As a Back Office Executive in a jewelry showroom, your main responsibility will be to ensure the smooth operations of the back-office functions. You will play a crucial role in managing administrative tasks, maintaining inventory records, and supporting the sales team with various back-end functions. Your attention to detail, organizational skills, and ability to coordinate with different departments will be essential for the efficient functioning of the showroom. Key Responsibilities: - Inventory Management: - Monitor and maintain stock levels of jewelry items. - Update inventory records regularly. - Coordinate with the showroom floor to ensure accurate stock levels. - Assist in the stocktaking process and reconciliation. - Data Entry & Documentation: - Maintain accurate records of incoming and outgoing jewelry. - Input data into the company's inventory system. - Generate reports and updates for showroom management. - Ensure all invoices, receipts, and other documents are processed correctly. - Customer Service Support: - Assist the sales team in handling customer queries related to product availability. - Coordinate with customers for special orders or custom-made jewelry requests. - Help manage online orders and deliveries, if applicable. - Order Processing: - Process purchase orders and track deliveries. - Coordinate with suppliers for new stock and ensure timely delivery. - Support in the preparation and tracking of product returns and exchanges. - Administrative Tasks: - Handle phone calls, emails, and other communications related to showroom operations. - Schedule appointments or meetings as needed for showroom management or suppliers. - Assist in other administrative duties as required. - Showroom Support: - Assist in visual merchandising and showroom display setup as required. - Keep the showroom's back-office area organized and well-maintained. - Support sales staff during peak hours with administrative functions. Qualifications Required: - Educational Background: High school diploma, or equivalent (Bachelors degree in Business Administration, Accounting, or related fields is a plus). - Experience: Previous experience in a back office or administrative role, preferably in a retail or showroom environment. - Technical Skills: Familiarity with inventory management software, MS Office (Word, Excel, Outlook). - Attention to Detail: Strong focus on accuracy, organization, and time management. - Communication Skills: Excellent verbal and written communication skills. - Customer-Oriented: Ability to maintain a customer-friendly approach even when handling administrative duties. - Problem-Solving Skills: Ability to anticipate challenges and provide solutions.
