IT Coordination & Vendor Liaison Specialist
Key Responsibilities:
Strategic IT Liaison:
Act as the central point of contact between internal stakeholders and all external IT vendors under contract. Ensure efficient communication, task delegation, and timely resolution of all IT-related requirements across the group’s operational scope.
Vendor Oversight & Follow-Up:
Engage proactively with third-party IT service providers to coordinate project execution, including but not limited to website development, infrastructure rollouts, system integrations, and routine upgrades. Ensure clarity in task ownership, follow through on timelines, and maintain accountability on deliverables.
Requirements Gathering & Delegation:
Translate internal requests—such as developing a new frontend website, deploying a software solution, or upgrading systems—into clear, actionable briefs for relevant vendors. Ensure appropriate providers are engaged and all technical prerequisites are met.
Technical Understanding (Non-Hands-On):
Maintain a proficient understanding of IT systems, web technologies, and digital infrastructure sufficient to converse confidently with specialists, assess feasibility, and guide task prioritisation without direct implementation.
Project Coordination:
Monitor and track ongoing IT projects, providing status updates to management and ensuring project milestones are met. Escalate concerns to higher authorities or vendor leadership where necessary.
Communication & Reporting:
Deliver concise reports on vendor performance, system updates, ongoing tasks, and strategic IT needs. Serve as the IT touchpoint for non-technical team members, distilling complex topics into accessible updates.
Documentation & Process Tracking:
Maintain accurate records of all ongoing projects, vendor interactions, decisions taken, and project timelines. Build and maintain structured workflows to improve repeatability and clarity across all IT processes.
Policy & Security Oversight:
Assist in the enforcement and monitoring of IT policies, security protocols, and data protection standards—through effective coordination with vendors and internal users.
Skills & Competencies Required:
· Vendor Management: Demonstrated ability to oversee multiple IT service providers, ensuring timely delivery and quality of service.
· IT Fluency (Without Execution): Sound understanding of digital systems, web platforms, and IT infrastructure to confidently steer vendor interactions.
· Project Management Acumen: Skilled in planning, tracking, and coordinating multi-party projects across varied IT domains.
· Communication Excellence: Superior verbal and written skills, with a capacity to liaise effectively across technical and non-technical stakeholders.
· Problem-Solving Orientation: Ability to pre-empt potential roadblocks and act as a resolution point by engaging the right resources at the right time.
· Service-Driven Mindset: A strong sense of accountability and responsiveness to internal IT needs and business continuity.
Experience Required:
Minimum of 2–3 years in an IT coordination, vendor management, or technology project support role, ideally within a medium-sized organization or across a group structure with multiple business entities.
