Job Description

Job Title: HR Executive / Senior HR Executive - HR Operations

Department: Human Resources

Location: Chennai

Reports To: HR Manager / HR Business Partner

Role Summary:

The HR Operations Executive will be responsible for managing the end-to-end employee lifecycle from onboarding and induction to offboarding — while ensuring accurate attendance management, payroll coordination, and statutory compliance. The role requires strong attention to detail, excellent communication skills, and a proactive approach to HR operations and documentation.

Key Responsibilities:

1. Onboarding & Joining Formalities

  • Coordinate pre-joining documentation and background verification.
  • Collect and verify employee KYC documents, forms, and credentials.
  • Prepare and issue appointment letters, offer letters, and employment contracts.
  • Conduct joining formalities in alignment with company policies
  • Ensure smooth onboarding experience for new hires.

2. Induction & Orientation

  • Plan and conduct HR induction/orientation sessions for new employees.
  • Introduce company policies, code of conduct, and HR systems.
  • Coordinate with department heads for technical/functional induction.
  • Maintain induction feedback reports and closure checklists.

3. Attendance & Leave Management

  • Maintain and update attendance records through HRMS or manual systems
  • Track leave balances, shift schedules, and attendance regularizations.
  • Reconcile attendance data with payroll cut-offs and timesheets.

4. Payroll Liaison

  • Coordinate with the Finance/Payroll team to process monthly payroll inputs.
  • Verify attendance, leave deductions, and variable pay components.
  • Handle reimbursements, overtime records, and arrear calculations.
  • Assist in preparing salary revision letters and payslip distribution.

5. Statutory & Compliance Coordination

  • Support HR Manager in maintaining compliance with statutory laws (PF, ESI, Gratuity, PT, LWF, etc.).
  • Prepare monthly challans, forms, and employee returns.
  • Coordinate with consultants, auditors, and government authorities as needed.
  • Ensure all HR documentation is audit-ready and properly filed.

6. Offboarding

  • Manage employee exit formalities, including resignation acceptance, exit interviews, and clearance.
  • Prepare full-and-final settlements and relieving letters.
  • Coordinate with IT and Admin for asset recovery and access revocation.
  • Ensure proper documentation and compliance for exited employees.

Required Skills & Competencies

  • Strong understanding of HR operations and statutory norms (PF, ESI, PT, etc.
  • Excellent communication and documentation skills
  • Proficiency in MS Excel / Google Sheets and HRMS tools
  • Ability to handle sensitive information with confidentiality
  • Attention to detail and process-oriented mindset

Education & Experience

  • Qualification:

    Bachelor’s degree in HR / Business Administration (MBA preferred)
  • Experience:

    3–5 years of experience in HR Operations / HR Generalist role
