1. Key Role Requirements:
- Learning interventions:
- Support L&OD team by taking taken of all external administrative aspects- such as issuing gate pass, food & tea arrangements, Speaker travel & stay, scouting locations for upcoming events, scheduling of outbound/ inbound quarterly connects, etc.
- Responsible for internal training program set-up such as chart papers, stationary, monitoring attendance sheet, collecting feedback form, etc.
- Responsible for maintaining Training tracker on behalf of entire OD team
- Responsible for ISDMS submission and other related governance aspects pertaining to Trainings
- Responsible for independently handling bimonthly Learning Hour - a virtual learning intervention
- Managing Commercials & Vendors:
- Assess various vendors for best options in event related activities, with respect to pricing & quality
- Maintain budget tracker to monitor expenses for each event or training and organized monthly meetings with the team; Maintain Purchase Order & Invoice tracker to track the payment duration
- Onboard new vendor in internal Commercials portal and train all new vendors on how to use it; update existing vendors to changes if needed; aintain vendor empanelment note
- Do travel & accommodation booking for external trainers
- Communication & Connect:
- Handling communication though mailers on internal channels
- Reading through content of internal mailers to ensure timely & effective communication, before publishing the same. Support other Divisional team during important events like Safety Week & Quality Week with respect to communication
- Responsible for live screen displays in every floor, and ensuring suitable communication
- Coordination for Annual Events:
- Help co-ordinate & manage four mega events (with participation of over 300 employees in each, across functions) in Bangalore
- Travel to other locations for Ignite (Technical event) once a year and host it independently
2. What decisions will this position take that are distinct from what his/her supervisor or subordinate will take.
- Given that the role is that of Officer, it is expected that they aid in Learning related all interventions as detailed above, by supporting Sr HR Manager (L&OD). These activities require careful consideration of executional aspects during small & large events, actioning feedback from internal stakeholders across levels/ functions/ locations, vendor co-ordination, etc. and hence, would require strong stakeholder management skills and high bias for action
