Job Summary:

We are seeking a detail-oriented and experienced Time Office and Payroll Executive to manage employee attendance, leave, and payroll processing. The candidate will ensure accurate timekeeping, statutory compliance, and timely salary disbursement while maintaining confidentiality and efficiency in operations.

Key Responsibilities:

Time Office Management:

  • Maintain and monitor daily attendance records through biometric or manual systems.
  • Process and verify employee in/out timings, overtime, late marks, early departures, and absentees.
  • Prepare and share daily, weekly, and monthly attendance reports.
  • Coordinate with department heads to track shift schedules and roster planning.
  • Manage leave records and update leave balances as per company policy.
  • Handle attendance anomalies, discrepancies, and manual corrections.
  • Maintain employee database and time office registers as per compliance.

Payroll Processing:

  • Collate attendance, leave, and overtime data for monthly payroll input.
  • Ensure timely and accurate salary processing.
  • Calculate and process statutory deductions (PF, ESI, PT, TDS, etc.).
  • Generate payslips and salary reports.
  • Coordinate with the finance/accounts department for salary disbursement.
  • Manage final settlement calculations (Full and Final) for resigned/terminated employees.

Statutory Compliance:

  • Ensure compliance with labor laws related to working hours, overtime, holidays, etc.
  • Prepare and file statutory returns (PF, ESI, PT, LWF).
  • Coordinate with external auditors or inspectors during statutory audits.

General Administration:

  • Assist in HR documentation like appointment letters, ID cards, and joining formalities.
  • Support internal and external HR-related queries or requests.
  • Maintain confidentiality of payroll data and employee records.

Key Skills & Competencies:

  • Strong knowledge of attendance and payroll software (e.g., SAP, Tally, GreytHR, etc.)
  • Familiarity with labor laws and statutory compliances.
  • Good numerical and analytical skills.
  • High attention to detail and accuracy.
  • Proficient in MS Excel (VLOOKUP, Pivot Table, etc.)
  • Strong communication and interpersonal skills.
  • Ability to work under pressure and meet deadlines.

Qualifications & Experience:

  • Bachelor's degree in Commerce, Human Resources, or a related field.
  • 2.5 years of experience in Time Office and Payroll management.
  • Experience with HRMS/ERP systems is preferred.
