Job Description

Position: Personal Assistant To MD

Working Days: Monday – Saturday

Shift Timings: 10:00 AM – 07:00 PM (Shift arrangements must be adaptable based on workload.)

Location: Rajkot (On-Site)

Overview

We are seeking a proactive and highly organized Personal Assistant to the Managing Director (MD) to act as the primary point of contact between the MD and internal teams. This role will help streamline communication by taking follow-ups from staff members, circulating instructions from the MD, and providing regular updates to ensure efficient decision-making. The ideal candidate will be detail-oriented, a strong communicator, and committed to facilitating smooth organizational operations.

Key Responsibilities

  • Act as the key liaison between the MD and internal departments to facilitate seamless communication.
  • Collect regular updates from internal teams on ongoing projects, tasks, and performance metrics.
  • Ensure timely follow-up with employees for work progress, pending tasks, and clarifications as directed by the MD.
  • Circulate MD’s instructions, assignments, and work directives clearly and on time to relevant staff.
  • Maintain a systematic log of instructions, tasks, and follow-ups to ensure nothing is missed.
  • Provide daily/periodic updates to the MD about work progress and critical pending matters.
  • Help in organizing meetings, managing schedules, and ensuring important decisions are tracked and implemented.
  • Perform routine administrative tasks on computer such as data entry, document preparation, formatting reports, and organizing digital files.
  • Prepare, format, and manage documents, presentations, reports, and spreadsheets when required.
  • Maintain and update digital files, folders, and internal records accurately.
  • Maintain confidentiality and professionalism in handling sensitive information.

Qualifications

  • Minimum 2-3 years of experience in the relevant field.
  • Strong communication and interpersonal skills.
  • Highly organized, detail-oriented, and able to multitask.
  • Proficient in Microsoft Office Suite.
  • Proactive attitude with a solution-driven mindset.
