Key Roles & Responsibilities (KRA)

• Attendance & Records
• Mark and monitor daily attendance of hostel students and staff.
• Maintain hostel records including applications, photo records, movement registers, and guest details.
• Hostel Discipline
• Enforce hostel rules, student code of conduct, and discipline measures.
• Address complaints, prevent contraband use, and manage conflicts.
• Food & Mess Supervision
• Monitor menu adherence, food quality, and hygiene.
• Conduct regular food tasting and maintain records.
• Ensure no food is taken outside dining halls.
• Fee Management
• Maintain hostel and mess fee registers.
• Track pending dues and follow up on collections.
• Infrastructure & Maintenance
• Oversee daily cleaning and upkeep of rooms, washrooms, and common facilities.
• Maintain repair logs and housekeeping supply registers.
• IT & Facility Supervision
• Ensure uninterrupted services like internet, TV, geysers, water filters, etc.
• Raise and follow up on service/maintenance requests.
• Entry & Exit Formalities
• Supervise check-in/check-out, vacation permissions, and ID verification.
• Maintain visitor logs and monitor main gate movements.
• Festival & Event Management
• Organize cultural events and festivals (e.g., Ganesh Puja, Eid, Christmas) to foster community engagement.
• Transport Supervision
• Ensure transport arrangements are timely and safe.
• Monitor student boarding and address transport delays.
• Reporting & Documentation
• Submit daily and monthly reports on attendance, stay-back lists, inventory, maintenance, and fee records.
  

Skills & Competencies

• Strong communication and interpersonal skills.
• Ability to balance discipline with empathy.
• Knowledge of hostel operations, safety protocols, and student management.
• Leadership qualities for staff coordination and conflict resolution.
• Basic technical understanding of hostel utilities and facilities.
  

Qualifications & Experience

• Bachelors degree in any discipline (preferably Administration/Social Work).
• 35 years of experience in hostel management/student accommodation.
• Experience in handling student discipline, infrastructure, and hostel logistics preferred.
