Job Title: Front Office Receptionist
Location: Naseema Institute of Speech and Hearing, Bangalore
Employment Type: Full-Time

Job Summary:
The Front Office Receptionist will serve as the first point of contact for students, parents, clients, and visitors at the institute. This role requires strong communication skills, a professional demeanor, and the ability to handle administrative and front-desk responsibilities efficiently. The receptionist will ensure smooth coordination between departments and support daily operations in a customer-centric environment.

Key Responsibilities:

  • Greet and assist students, parents, patients, and visitors in a courteous and professional manner.
  • Manage incoming calls, respond to enquiries, and direct calls to the appropriate departments.
  • Maintain the front desk area, ensuring it is organised, welcoming, and presentable at all times.
  • Register new clients for audiology, speech therapy, and related services; schedule appointments for assessments and therapy sessions.
  • Coordinate with faculty, clinicians, and administrative staff for appointment confirmations, follow-ups, and daily schedules.
  • Maintain client records, update databases, and handle documentation as per institutional protocols.
  • Support the admissions office with enquiry handling, campus visit coordination, and documentation assistance.
  • Manage incoming and outgoing mail, courier services, and basic office supplies inventory.
  • Provide administrative support for meetings, events, and academic activities whenever required.
  • Ensure confidentiality and discretion while handling patient and student information.

Qualifications and Skills:

  • Bachelor’s degree or Diploma in any discipline (Candidates with experience in healthcare or educational institutions preferred).
  • Proven experience as a receptionist or in front-office administration.
  • Excellent verbal and written communication skills.
  • Ability to multitask, prioritise, and manage time effectively.
  • Proficiency in MS Office (Word, Excel, Outlook) and basic computer operations.
  • Strong interpersonal skills with a customer-service mindset.
  • Ability to remain calm and professional in a busy environment.

Working Hours:

  • Monday to Saturday
  • 9:00 AM to 5:00 PM (or as per institutional schedule)
