Job Description

Position Overview:
We are looking for a proactive and efficient Front Office Executive/Receptionist to manage the front desk and provide administrative support across the organization. This role is pivotal in creating a welcoming atmosphere for clients, visitors, and employees while ensuring smooth office operations.

Key Responsibilities:

Front Desk Operations:

  • Greet and assist visitors, clients, and employees professionally and courteously.
  • Answer and direct incoming calls to the appropriate personnel or department.
  • Manage and maintain the reception area to ensure a tidy and professional appearance.

Administrative Tasks:

  • Handle and distribute incoming and outgoing mail and courier services.
  • Maintain records of appointments, visitor logs, and scheduling of meeting rooms.
  • Assist in preparing reports, presentations, and other documentation as required.

Visitor and Access Management:

  • Manage visitor registrations, issue visitor badges, and ensure security protocols are followed.
  • Coordinate with the security team to manage access for external parties.

Support for Staff and Management:

  • Provide administrative support to various departments as needed.
  • Order and maintain inventory for office supplies and stationery.

Required Qualifications and Skills:

  • Any UG.
  • Proven experience in a similar role.
  • Proficiency in MS Office applications (Word, Excel, PowerPoint).
  • Excellent communication and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and handle a fast-paced environment.
  • Professional appearance and demeanour.

Key Competencies:

  • Dependability and ability to work independently.
  • Problem-solving skills and the ability to prioritize tasks effectively.
  • Basic knowledge of office equipment (printers, fax machines, etc.).
