Job Description

We are seeking a well-groomed, courteous, and customer-focused Front Desk Executive to be the face of our aesthetic clinic. As the first point of contact for clients, you will play a crucial role in creating a welcoming and professional environment. You will be responsible for handling front desk operations, client communication, appointment scheduling, and providing administrative support to ensure smooth clinic functioning.

Key Responsibilities:Client Interaction & Reception Duties

  • Greet clients warmly and ensure a pleasant check-in and check-out experience.
  • Manage incoming phone calls, emails, and WhatsApp messages with professionalism and efficiency.
  • Answer client queries regarding treatments, prices, and appointments in a knowledgeable and reassuring manner.
  • Maintain a clean, organized, and professional-looking reception area at all times.

Appointment & Schedule Management

  • Schedule, reschedule, and confirm client appointments using the clinic’s booking software.
  • Coordinate effectively with doctors, therapists, and other staff to ensure timely service delivery.
  • Minimize scheduling conflicts and manage waiting times.

Client Records & Billing

  • Maintain and update client records accurately, including medical history forms, consent forms, and treatment notes.
  • Handle billing, invoicing, and payment collection processes.
  • Issue receipts and maintain a daily cash and payment log.

Clinic Operations Support

  • Assist in inventory checks and ordering front desk supplies.
  • Ensure proper filing and administrative tasks related to client documentation.
  • Coordinate with the clinical team for daily operational needs.
  • Handle feedback and escalate client concerns when necessary.

Required Skills & Qualifications:

  • Proven experience as a Front Desk Executive, Receptionist, or Customer Service Representative (experience in a clinic, spa, salon, or hospitality preferred).
  • Excellent communication skills in English (additional languages a plus).
  • Strong interpersonal and client-handling skills.
  • Proficient in MS Office and clinic management/booking software.
  • Well-groomed, presentable, and polite at all times.
  • Multitasking ability and time-management skills.
  • Knowledge of aesthetic treatments and skincare products (or willingness to learn).

Job Type: Full-time

Pay: ₹15,000.00 - ₹25,000.00 per month
