Job Description

Primary Objective

To manage the front office efficiently and professionally, ensuring a positive first impression for all visitors, clients, and callers, and to provide comprehensive administrative support to various departments.

Key Responsibilities

1. Reception and Guest Management

  • Greeting and Welcoming: Warmly greet and welcome guests, visitors, and clients as they arrive, setting a positive tone.
  • Visitor Assistance: Direct visitors to the appropriate person or office and notify staff of their arrival.
  • Security and Access Control: Monitor and manage visitor logs, issue temporary passes, and ensure adherence to office security procedures.
  • Reception Area Maintenance: Ensure the reception area, lobby, and main meeting rooms are tidy, presentable, and well-stocked with necessary materials (e.g., forms, magazines).

2. Communication Management

  • Phone Operations: Answer, screen, and forward incoming phone calls promptly and professionally.
  • Inquiries: Provide accurate basic information in person and via phone/email regarding the company, its services, and staff.
  • Mail and Deliveries: Receive, sort, and distribute daily mail, courier packages, and deliveries.
  • Outgoing Correspondence: Coordinate outgoing mail and express shipments.

3. Administrative and Clerical Support

  • Scheduling: Update calendars and schedule/coordinate meetings, appointments, and conference room bookings.
  • Office Supplies: Monitor and order front office supplies (stationery, kitchen supplies, etc.) and maintain an inventory of stock.
  • Record Keeping: Perform general clerical duties such as filing, photocopying, scanning, data entry, and faxing.
  • Team Support: Assist other administrative staff or departments with overflow work and projects as needed.

Qualifications and Skills

  • Bachelor's degree in Business Administration, Hospitality, or a related field is often preferred.
  • Proven work experience (1-3 years) as a Front Office Executive, Receptionist, or in a similar customer-facing role.

Job Type: Full-time

Pay: ₹15,000.00 - ₹20,000.00 per month
