Job Description

Role Overview

The Front Desk Administrator will be the first point of contact for patients at Apollo Dental Clinic, Sarjapur Road. This role ensures smooth front-office operations, excellent patient service, accurate recordkeeping, and efficient coordination between the clinical and administrative teams.

Key Responsibilities

Patient Reception & Customer Service

  • Greet and register patients with courtesy and professionalism.
  • Handle walk-ins, phone calls, emails, and WhatsApp inquiries promptly.
  • Provide information on treatments, pricing, appointments, and insurance policies.
  • Guide patients regarding treatment plans and post-visit follow-ups.

Appointment & Schedule Management

  • Manage the clinic’s appointment calendar effectively.
  • Confirm, reschedule, and remind patients of their appointments.
  • Coordinate with dentists, chair-side assistants, and other staff to ensure smooth patient flow.

Billing & Records

  • Generate and process bills, collect payments, and issue receipts.
  • Maintain patient records accurately in the clinic’s EMR/CRM system.
  • Assist patients with insurance documentation and claims.

Administrative Support

  • Maintain reception area, forms, and patient information leaflets.
  • Coordinate with vendors for supplies and services.
  • Support marketing activities at the reception (brochures, promotions, feedback calls).

Compliance & Standards

  • Uphold Apollo Dental Clinic’s service standards, patient confidentiality, and data security.
  • Follow hygiene and infection-control protocols at the front desk.
  • Escalate operational or patient concerns to the Clinic Manager promptly.

Qualifications & Skills

  • Bachelor’s degree or Diploma in Administration, Hospitality, or a related field preferred.
  • Prior experience in a dental/medical clinic front office or hospitality industry is an advantage.
  • Excellent communication and interpersonal skills in English and local language(s).
  • Proficiency in MS Office, appointment scheduling software, and billing systems.
  • Strong organizational skills with attention to detail.
  • Ability to multitask and remain calm under pressure.

Working Hours & Benefits

  • Timings: As per clinic schedule (including occasional weekends if required).

Pay: ₹15,000.00 - ₹30,000.00 per month
