Export Executive

Export Documentation & Compliance

• Prepare export documents such as Invoice, Packing List, COO, BL/AWB, Certificate of Analysis, MSDS, Health Certificate, and pre/post-shipment documents.
  
• Ensure all documents comply with DGFT, Customs, FSSAI, PHARMEXCIL, AYUSH, and country-specific regulatory requirements.
  
• Manage online portal submissions (ICEGATE, DGFT, E-SANCHIT, FSSAI, EXIM portals etc.).
  
• Verify HS codes, product classifications, and export licensing requirements.
  
• Coordinate for inspection certificates, legalization/attestation as required by embassies or chambers.
  

2. Shipment Planning & Coordination

• Coordinate with freight forwarders, CHA, transporters, and warehouses for booking containers, shipments, and export clearance.
  
• Track shipments and provide timely updates to customers.
  
• Ensure timely submission of shipping instructions and verified gross mass (VGM).
  
• Arrange insurance coverage for export shipments where applicable.
  

3. Customer & Internal Coordination

• Act as a point of contact for overseas customers regarding shipment status, documentation, and order fulfillment.
  
• Coordinate with production, QA/QC, supply chain, and finance for timely dispatches.
  
• Assist the sales team with proforma invoices, quotations, and export-related requirements.
  

4. Finance & MIS

• Prepare and submit post-shipment documents to banks for negotiation under LC/DA/DP terms.
  
• Follow up with finance department for export incentives, BRC realization, and payment follow-ups.
  
• Maintain records of shipments, pending orders, and export documentation.
  
• Prepare monthly MIS reports related to export operations.
