Executive / Senior Executive - Order Execution

Executive / Senior Executive

Responsibilities:

  • Act as the single point of contact

    for customers, consultants, and vendors regarding spare part orders.
  • Organize and lead meetings

    with stakeholders to expedite approvals, resolve issues, and ensure schedule adherence.
  • Communicate and coordinate effectively

    with Indian and overseas suppliers.
  • Conduct contract/order reviews

    upon receipt.
  • Prepare detailed project execution schedules

    in line with customer requirements.
  • Coordinate with ordering departments

    to clarify scope, specifications, and compliance.
  • Liaise with the Procurement team

    for timely order placement of raw materials and bought-out components.
  • Ensure timely submission and approval

    of project-related documents.
  • Coordinate with vendors

    for technical clarifications and documentation requirements.
  • Provide manufacturing clearance

    for bought-out items to meet delivery schedules.
  • Track project progress regularly

    and ensure timely updates to management.
  • Coordinate with departments

    like PM&PS, TSS, QA, and Manufacturing to resolve inter-departmental issues.
  • Monitor cash flows

    , ensuring timely receipt of advances and payments.
  • Prepare and submit monthly progress reports

    to meet project documentation requirements.
  • Raise inspection calls

    in coordination with Assembly, QA, and Purchase teams.
  • Ensure all required documents are shared

    before inspections.
  • Follow up with TPI, QA, and field teams

    for timely inspection and resolution of open issues.
  • Obtain and release IRN

    (Inspection Release Note) after successful inspections.
  • Coordinate resolution

    of inspection-related issues with the customer.
  • Ensure statutory documentation

    like road permits, dispatch details, etc., are organized.
  • Understand customer dispatch instructions

    and ensure accurate preparation of commercial documents (Invoice, Packing List, LR, Insurance, etc.).
  • Ensure delivery extensions are obtained

    when applicable and avoid any Liquidated Damages (L/D).
  • Understand billing breakups of customer POs

    and plan part invoicing to meet billing targets.
  • Responsible for post-order SAP updates

    for all assigned orders.

Skills:

  • Strong understanding of contracts and technical specifications.

  • Proficient in MS Office, SAP, and documentation tools.

  • Strong interpersonal, communication, and negotiation skills.

  • Excellent time management and multitasking abilities.

  • Familiarity with inspection processes and logistics coordination.

Qualifications:

  • Education:

    Bachelor's degree in Engineering (Mechanical/Electrical preferred) or related field.
